Contracts Facilitator Assistant

Job Summary

Reporting to the Director RPKM, the Contracts Facilitator Assistant (CFA) is the initial point of contact within ORS for any internal or external enquires relating to research agreements. This position administers, interprets, implements, and communicates the University’s policies and guidelines relating to research contracts; assists the Research Agreement Facilitators (RAF) to triage, track, manage and report on contract workflow; coordinates management of research contracts information; promotes effective and efficient research contracts processes; and, provides other administrative support such as web site updates.

The CFA works with a variety of contracts including:
Agreements for research work funded by Canadian federal, provincial and municipal governments; industry partners; Canadian universities and foundations; and international governments, foundations and universities.

Consortium agreements, network agreements, inter-institutional agreements, and other agreements defining roles and responsibilities of partners in a collaborative research endeavour.

Agreements relating to intellectual property rights.

Agreements relating to loan or transfer of materials or equipment.

Confidentiality and non-disclosure agreements.

Consulting agreements, service agreements, secondment agreements, and other contracts where UVic is subcontracting a third party to provide research services.

Job Requirements

Skills:
A strong team player who works effectively with both peers and supervisors.

Excellent organizational skills and an ability to work under pressure and meet strict and often emergent and conflicting deadlines.

Ability to prioritize a large workload and deal with frequent interruptions.

Ability to communicate effectively, both verbally and in writing with all levels of the university community and the outside community (i.e. federal and provincial government agencies, Canadian and International universities etc.).

Highly responsible and thoroughly discreet in dealing with confidential information

Ability to exercises initiative, good jugdement, tact and diplomacy regarding sensitive and confidential matters

Specialized Knowledge/Education:
Some post-secondary education

Experience with databases searching for information and producing statistical reports for senior leaders is an asset.

The following would be considered an asset:
Knowledge of Uvic Connect and the Cascade website content management system

Good working knowledge of the University policies and procedures.

Experience:
Minimum 3 years’ office / administrative experience including:

Demonstrated experience working independently to obtain accurate information from various sources, including reference material, the web and from personal contact with funding agencies and researchers.

Excellent administrative skills, including proficiency in word-processing, database management, spreadsheets and website maintenance.

The following would be considered an asset:
Experience training others

Experience working within a research administration environment

Experience working in a law firm (e.g. paralegal or similar) and /or the proven ability to interpret contract terms
