Reporting to the Associate Director, Enrolment Services, the Admissions Coordinator is responsible for oversight of the daily operations of the Admissions department. As a member of the Enrolment Services team, this position works collaboratively with all units within Enrolment Services and other administrative units and faculties on campus in the coordination and administration of undergraduate admissions policies and procedures.

Typical duties include but are not limited to:

  • Provides assistance and support to the university community with the interpretation and implementation of academic policies and procedures relating to student admissions
  • Ensures that the professional and support staff are effectively coached and mentored in the achievement of operational goals and that efficient and effective policies and processes are operationalized and maintained.
  • Ensures Senate and Faculty approved admission policies are applied consistently and that all rules and regulations pertaining to admissions are adhered to for all applicants.
  • Hires, trains, supervises, manages performance, and sets priorities for admissions staff.
  • Resolves undergraduate applicant conflicts and makes independent discretionary decisions.
  • Monitors issues with applications and follow up with candidates, as needed, for additional information or clarification.
  • Ensures that communication (written and oral) relating to status of applications and admissions assessment is accurate and timely.
  • Responsible for maintaining and updating a library of resources and reference materials related to undergraduate admissions.
  • Answers inquiries from students and guidance counselors regarding admission policies and procedures and make recommendations to the Associate Director and the Director, Enrolment Services to improve service delivery or revise processes as needed.
  • Reviews and makes recommendations for policy and procedural changes based on continuous research of educational systems, industry best practices, and opportunities for efficiencies presented by technological innovations.
  • Assists the Associate Director, Enrolment Services with the review, development and implementation of policies, practices and strategies related to admissions.
  • Unit expert on fraudulent document tracking (i.e. transcripts, diplomas etc.).
  • Monitors and recommends changes to the Admissions information on the U of R website.
  • Tests and troubleshoots systems used in processing admissions including Banner, document imaging, file workflows, statistical reports, admission letter generator, document transfers and uploads.
  • Plans logistics for admissions-related events on or off campus.
  • Creates and updates admission related materials used to determine admissibility for applicants.
  • Backs up the Student Awards and Financial Aid Coordinator in their absence.
  • Implements the department filing system in accordance to the University of Regina Records and Information Management Policy.
  • Works collaboratively with the Enrolment Services leadership team, Student Affairs managers, faculties, federated colleges, and direct reports to prepare and implement Enrolment Service’s department plan.

Position Requirements

  • Undergraduate Degree;
  • Minimum of 3 years related experience, preferably in a university environment. An equivalent combination of education, training and experience may be considered;
  • Experience in the evaluation of transcripts and educational documents; international credential experience would be a strong asset;
  • Demonstrated ability to make decisions based on sound judgment;
  • Ability to resolve complex problems using analytical skills, reasoning, and research;
  • Demonstrated ability to set, direct, and achieve goals in alignment with an overall strategic mission;
  • Demonstrated ability to provide excellent customer service in a student-centered environment;
  • Demonstrated experience communicating in a cross-culturally sensitive manner;
  • Knowledge of Banner Student Module and related reports (or similar experience working with complex databases and reporting);
  • Strong technical expertise and ability to lead system implementations and upgrades for admissions users;
  • Knowledge of University policies and procedures related to undergraduate admissions;
  • Experience in a supervisory capacity;
  • Ability to work in a team oriented environment;
  • Experience with conflict resolution and making independent discretionary decisions;
  • Experience with writing instruction manuals and training others on complex policies and programs;
  • Experience working with multiple deadlines and conflicting priorities;
  • Ability to coordinate a team, motivate and lead others;
  • Experience working in a fast-paced environment and dealing with sensitive information;
  • Ability to comply with the Freedom of Information and the Protection of Privacy Act;
  • Ability to identify and report unsafe acts, workplace hazards, and incidents that result (or could result) in injury, illness, or environmental damage;
  • Ability to work and lead staff to work and act safely;
  • Experience with of Government Student Loans, Scholarships, and Awards would be an asset.

Physical Demands

Seated at a computer for 2-3 hours at a time.

Pay Grade APT 4 Salary Range $60,172.00 – $81,196.00 Annually Status Permanent Work Hours

8:15 am – 4:30 pm, Monday to Friday

Some evenings and weekends will be required.
