Job Summary

The Course Coordinator provides leadership in the development, maintenance and implementation of administrative processes and related materials for undergraduate courses in the Department of Civil Engineering. Oversees the organization, coordination, safety and operation of the Civil Engineering teaching labs.

The Course Coordinator also supports the development and administration of the Graduate Attributes Process for accreditation of the undergraduate Civil Engineering program.

Organizational Status

Reports directly to the Associate Head of Undergraduate Students. Works collaboratively with faculty and staff in the Civil Engineering department

Work Performed

Laboratory Course Coordination:

In consultation with course instructors, coordinates the technical and administrative aspects of teaching the undergraduate laboratory courses in the Civil Engineering Labs. Reviews and updates laboratory course materials as needed.

Liaises with course instructors to ensure teaching laboratories and experiments meet course requirements. Schedules student laboratory work in discussion and with input from instructors and Teaching Assistants (TAs). Works with instructors to implement changes to laboratories (new experiment procurement and installation, modifications, updating, etc.).

Coordinates the appointment of laboratory TAs, schedules their shifts for each lab, and ensures they are properly trained and functioning well in their roles. In coordination with Director, Safety & Research Facilities delivers equipment training to teaching assistants as required.

In collaboration with the Department Local Safety Team and the Department Safety Specialist – provides safety training for students and TAs in the labs. Ensures that safety regulations are followed including the acquisition and use of Personal Protective Equipment (PPE). Reviews and delivers laboratory safety training (undergraduate and teaching assistant) and ensures it meets high standards, is appropriate and is properly administered.

Manages and implements the Department’s Canvas-based Safety Compliance Scheme with respect to undergraduate laboratory / fieldwork courses.

Reviews laboratory equipment and ensures it is in good operating condition. Arranges for advance preparation of test material and samples, experimental setup, testing, calibration, repairs and storage of lab equipment with technical staff. Arranges for sourcing of laboratory test materials, maintenance/replacement of equipment, as required.

Maintains laboratory experimental procedures (undergraduate instructions, teaching assistant hints and procedures), and arrange for their technical review and ensuring the documents are kept updated.

Reviews and evaluates the operation of teaching laboratories. Keeps instructors and TA’s advised of lab issues and makes recommendations or changes to ensure labs run smoothly.

Liaise with APSC CIS to implement Canvas-based collection of student laboratory reports as the experiments progress for TA marking.

Assists with the technical aspects of grant applications for the acquisition of laboratory teaching equipment.

Is a permanent member of the Department Local Safety Team, making recommendations to the committee regarding the teaching laboratories.

Graduate Attributes / Continual Improvement Process (GA/CI):

Under the general direction of the Undergraduate Associate Head, as well as the Chair of the Program Improvement Committee (PIC), the Course Coordinator takes responsibility for the implementation of the Department’s Graduate Attributes / Continual Improvement (“GA/CI”) Process as relating to the accreditation of the Department’s undergraduate program in Civil Engineering. This includes the following component activities:

Updates annually the Program’s curriculum summary and curriculum maps.

Supports the Curriculum Committee Chair with respect to the curriculum approval process each year.

Updates annually the AU (Accreditation Unit) database relating to the program, and the associated AU tables, including tables for multiple student cohorts.

Liaises with course instructors to update annually the Course Summary Sheets and Syllabi for all Civil Engineering undergraduate courses.

Works with PIC and course instructors to update annually the course-specific assessment tools (including exam questions reports, quizzes, grades and others) to be applied.

Gathers course-specific data from instructors and from the Student Information System with respect to all course-specific assessment tools that have been identified.

Conducts annual surveys of students and other stakeholders.

Arranges and participates in focus group and other meetings relating to stakeholder engagement, assessment and feedback.

Assembles documents relating to other assessments and feedback as may be relevant.

Analyses and summarizes course-specific data, survey results and other assessments and feedback that has been obtained.

Prepares GA/CI presentations, updates and supporting materials for PIC, the Department and other stakeholders each year.

Liaises with PIC to identify annual improvements to the GA/CI elements and process (including curriculum maps, assessment tools, schedule, etc.) and to the program (as relating to curriculum, pedagogical, resource and Faculty-wide changes).

Under the direction of PIC, works with department members to assure the implementation of the annual improvement that have been approved.

Updates annually the Program’s Graduate Attributes Dossier, Graduate Attributes Manual, and annual Activity Schedule

Maintains the Department’s Graduate Attributes web page.

Carries out any other related duties as required in keeping with the qualifications and requirements of positions in this classification.

Consequence of Error/Judgement

Errors in judgment may result in the inefficient use of resources, and may damage the image and reputation of the University and the Civil Engineering department.

Supervision Received

Works independently with general direction of Associate Head of Undergraduate Students in the Department of Civil Engineering and the Civil Engineering faculty members who are teaching the courses supported by this role. It is expected that specific instructions with respect to a given course to be provided by the faculty member(s) in charge of that course.

Supervision Given
Will provide functional supervision for undergraduate and graduate teaching assistants.

Minimum Qualifications
University degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

Undergraduate degree, with a preference given to a degree in engineering. Prior experience working as a teaching assistant for undergraduate Civil Engineering courses at UBC is preferred.

Ability to manage, compile and analyze data. Ability to write reports. Knowledge of UBC systems (SISC, FSC, Canvas) is an asset. Ability to understand and apply policies, procedures, and instructions. Ability to listen actively and attentively, and obtain clarification as required. Work effectively with minimal supervision. Ability to deal with a diversity of people in a calm, courteous, and effective manner. Ability to anticipate problems and issues and plan ahead.
