        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

 
PREFERRED SKILLS/capabilities: 

Valid BC Driver’s License
Background check consent
A clear vulnerable sector screening
A clean drivers’ abstract
Completion of online Armatus Abuse Prevention Training and required Health and Safety training

The summer student will be responsible for providing standard clerical duties such as answering incoming inquiries, managing appointment calendars and filing. In addition, the customer Service agent looks after store cleanliness and tidiness, assisting marketing and promotions activities, packing and delivering packages.

KEY RESPONSIBILITIES:

  • Obtain customers’ names, addresses and billing information, product numbers, and specifications of items to be purchased, and enter this information on order forms.
  • Check inventory records to determine availability of requested merchandise.
  • File copies of orders received, or post orders on records.
  • Confer with production, sales, shipping, warehouse, or common carrier personnel to expedite or trace missing or delayed shipments.
  • Adjust inventory records to reflect product movement
  • Receives mail from external and internal senders.
  • Sorts and opens all incoming mail according to Territorial Policies and Procedures.
  • Distributes all open mail into appropriate mailboxes for pick up.
  • Delivers or arranges pick up for larger packages.
  • Sorts and processes all outgoing mail; ensures mail/packages have the appropriate postage and charges are recorded to appropriate persons/departments/offices.
  • Picks up and drops off mail at local post office, as necessary.
  • May receive, sort, distribute budget mail (internal mail system) for internal off-site offices/facilities.
  • May assist with shipping and receiving including the sorting of inventory and the labeling of inventory dispensers and shelves, the receiving of incoming goods and preparation of outgoing packages.
  • Processes air freight, and overnight deliveries; tracks shipments as necessary.
  • Responds to various inquiries and requests from internal and external customers.
  • May be required to provide coverage to other staff as required (i.e., cash out customers, shipping & receiving and driving).
  • Participate with special events, orders, and projects.
  • Other duties and special projects as assigned.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

The successful candidate must meet the following requirements under the Canada Summer Jobs Program:

  • Between 15 and 30 years of age at the start of employment
  • Canadian citizen, permanent resident or person on whom refugee protection has been conferred
  • Is legally entitled to work according to the provincial / territorial legislations and regulations

Education:

  • The successful job applicant will have completed High School, plus specialized courses of up to six (6) months.

Experience and Skilled Knowledge Requirements

  • More than three months but less than one year of prior related experience, including, clerical/reception/customer Service experience.
  • Proficient use of Microsoft Office applications, Microsoft Outlook, and Windows 10 Operating System.

PREFERRED SKILLS/CAPABILITIES:

  • Must possess excellent Microsoft Office Excel, Word, Power point and Office 360
  • Must possess excellent time management and organizational skills
  • Ability to handle difficult situations and conversations with tact and build solid, lasting relationships.
  • Provide good customer service at all times
  • Ability to think outside the box and handle unforeseen challenges related to event administration
  • Be a strong, enthusiastic team player
