        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

Valid BC Driver’s License
Background check consent
A clear vulnerable sector screening
A clean drivers’ abstract
Completion of online Armatus Abuse Prevention Training and required Health and Safety training

To work with customers providing information and processing orders received via phone, fax, mail, e-mail, internet and in-person. To handle all incoming orders and provide the customer with information on products or services.

To plan, organize, direct and control all print center operations.  To assure a consistent profitability by maintaining high standards in sales, procurement of supplies, marketing, floor displays, store promotions, customer service, and public relations and manage clerical or administrative activities.

KEY RESPONSIBILITIES:

ACCOUNTABILITIES:

The incumbent is responsible for the following range of job duties characteristic, or typical of the job class:

  • Obtain customers’ names, addresses, and billing information, product numbers, and specifications of items to be purchased, and enter this information on order forms.
  • Obtain personal or financial information about customers or applicants. Prepare invoices, shipping documents, and contracts.
  • Inform customers by mail or telephone of order information, such as unit prices, shipping dates, and any anticipated delays.
  • Receive and respond to customer complaints.
  • Verify customer and order information for correctness, checking it against previously obtained information as necessary.
  • Direct specified departments or units to prepare and ship orders to designated locations.
  • Review orders for completeness according to reporting procedures and forward incomplete orders for further processing
  • Check and monitor inventory records to determine availability of requested merchandise.
  • Attempt to sell additional merchandise or services to prospective or current customers by telephone or through visits. Promote products, services, or programs.
  • File copies of orders received, or post orders on records.
  • Compute total charges for merchandise or services and shipping charges such as calculating shipping costs and costs of goods and services
  • Confer with production, sales, shipping, warehouse, or common carrier personnel to expedite or trace missing or delayed shipments.
  • Adjust inventory records to reflect product movement.
  • Collect payment for merchandise, record transactions, and send items such as checks or money orders for further processing.
    • Send information, materials or documentation.
    • Collect deposits, payments or fees.
    • Prepares and distributes invoices for all shipped/taken goods
  • Recommend merchandise or services that will meet customers’ needs.
  • Inspect outgoing work for compliance with customers’ specifications.
  • Notify departments when supplies of specific items are low, or when orders would deplete available supplies.
  • Recommend type of packing or labeling needed on order.
  • Calculate and compile order-related statistics, and prepare reports for management such as calculating financial data
  • May be required to provide coverage to other staff as required (i.e., cash out customers, shipping & receiving and driving).
  • Participates with special events, orders, and projects and annual inventory counting.
  • Other duties and special projects as assigned.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education, Qualifications and Certifications:

  • Must have at least a post-secondary/college certificate in business. An applicant with some college coursework or job experience is preferred. Accounting and order entry skills are mandatory. The individual must be extremely organized and have the ability to multi-task.

Experience and Skilled Knowledge Requirements

  • More than 1 year experience with previous stable work history
  • Previous print shop operations experience
  • Knowledge of basic accounting procedures
  • Proficient with Microsoft Office applications, Microsoft Outlook, and Windows 10 Operating System.
  • A knowledge of and familiarity with The Salvation Army, its administrative structure and specific language terms and acronyms is a definite asset.

Skills and Capabilities:

  • A customer Order Coordinator must be detail oriented and accurate in taking orders and filling out reports. Strong verbal and written communication skills are essential. A clerk must be comfortable with redundant work and minute day-to-day variety. Social skills are also vital for a clerk, as they will be in constant communication with others.
  • Demonstrated organizational abilities and an ability to work within a team environment.
  • Experience in retail or warehouse operations.
  • Good communication skills, both verbal and written.
  • Ability to take direction positively.
  • Ability to relate to customers in a warm, enthusiastic, and personable manner.
