SUMMARY OF DUTIES

The incumbent is responsible for providing the President with the best possible information and advice on all aspects of her responsibilities, including managing her office with internal and external stakeholders. The incumbent is able to adapt to constantly changing priorities and respond to meet the needs of the President. The incumbent will be responsible for:

Ensuring the smooth flow of communications from the Office of the President with all functions, as well as with external stakeholders.

Designing, coordinating, planning and actively participating in strategic activities involving the President.

Coordinating with various internal stakeholders to ensure timely action by BDC in response to requests or outreach opportunities from the President’s Office to increase BDC’s visibility and business development, including requests for partnerships and sponsorships.

Ensuring the relevance and quality of the content and branding of the President’s interventions, both internally and externally, in support of BDC’s mandate and desired impact.

KEY RESPONSIBILITIES AND TASKS

Ensure the smooth flow of communications and related processes from the Office of the President with all functions, as well as with external stakeholders .

Provide information, analysis and advice to the President on any aspect of her responsibilities, as well as act as an intermediary for relevant and often confidential information within and outside BDC. More specifically:

Be a gatekeeper by being the first point of contact for most requests that come to the President’s Office. Clarify needs and analyze requests by gathering all relevant information, redirecting requests as necessary, and preparing briefing notes for the President on these requests.

In collaboration with members of the Senior Management Committee and the Chief Legal Officer and Corporate Secretary, respond effectively to Board of Directors and federal agencies requests and submit required documents in a timely manner.

In partnership with stakeholders, prepare for key meetings and events on behalf of the President.

Design, coordinate, plan and participate in strategic activities

Play a key role in the design, planning and coordination of strategic activities involving the President, within BDC and with external stakeholders. More specifically:

Plan and coordinate BDC Senior Management Committee meetings, including agendas, priorities based on corporate information, briefing materials and follow-ups on decisions or action plans from these meetings.

Work with the Chief Legal Officer and Corporate Secretary to prepare for Board meetings, prepare documents such as the Chairman’s Report, prepare briefing materials to orient new Board members and make presentations to the President and other senior executives as required.

Actively participate in the management of issues on various topics that are brought to the attention of the President. Work closely with the Senior Management Committee members and other key players, as well as participate in defining issues, identifying and evaluating options, and seeking and selecting internal and external experts to assist, and defining mandates and entering into contractual agreements, and following up on issues to implement the best solution.

With internal key players, design and recommend activities and interactions with external BDC stakeholders (e.g., federal government departments, international dignitaries, government agencies, etc.). Plan and coordinate the President’s participation by gathering all relevant information and ensure follow up on these meetings.

Coordinate quick action by BDC in response to outreach requests or opportunities

Support the President by keeping her informed of activities related to outreach requests and opportunities for her Office, including partnership and sponsorship requests, and coordinate these activities with various internal stakeholders. More specifically:

Communicate with BDC staff and executives to prepare responses to requests and opportunities related to BDC activities, including partnerships and sponsorships. Gather relevant information, summarize information, and propose a response to reply quickly and effectively to these requests and opportunities.

Manage the Office of the President by coordinating all activities, including supervision of staff, overseeing the budget and ensuring that priorities and requests are handled efficiently and in a timely manner. More specifically:

Set priorities based on organizational information, assign and supervise the work of executive assistants and other employees, track delegated activities to ensure that the President’s schedule, travel and correspondence are kept current, and that internal and external requests are handled in a timely and professional manner.

Define budget requirements and monitor expenditures. Submit recommendations to the President regarding budget management for approval.

Support the President in her responsibilities by taking actions that help manage her high workload. Maintain open and ongoing communication with the President to define priorities and division of responsibilities within the President’s Office.

Direct supervision: two executive assistants to the President, temporary staff (e.g., casual employees or students (occasionally))

Indirect supervision: consultants (on occasion)
