Support Staff Full-time Replacement Position

As the COVID-19 pandemic evolves around the world and in our local community, Conestoga College continues to adjust plans based on the guidance provided by our local Public Health authority. Considering these unprecedented circumstances, final hiring decisions remain contingent upon confirmed enrolment numbers and the evolving work environment. We require a qualified individual to perform a variety of routine, non-routine, and complex tasks related to the creation, maintenance, and verification of student records for a specified group of programs. The incumbent acts as an intermediary between staff in Senior Administration, Academic Departments, the Registrar’s Office, outside agencies, and students regarding issues related to the student record, fees, registration and enrolment, and application of College policy.
Although many of our employees are currently working remotely, all employees are expected to be able to work on campus as required.
Responsibilities:
- Perform student enrolment activities (create enrolment records, prepare registration information, review and process requests for changes, etc.)
- Respond to student inquiries and requests for information
- Communicate and verify registration status and changes for students, faculty, and other areas of the college as required
- Troubleshoot student record issues and deal with complaints
- Ensure accurate records of achievement are maintained
- Communicate with and inform faculty regarding student records, system routines, and college policies and procedures
- Respond to requests for Affirmations, Statements of Participation, and verifications of enrolment
- Process transcript and Application to Graduate requests
- Prepare and issue documents (i.e. Diplomas, Degrees, Certificates) as required
- Communicate and report student enrolment and achievement to government agencies
- Purge student files/marks collection
- Generate reports as required
- Participate in all convocation events and planning
- Handle administrative aspects pertaining to the graduation of a student (i.e. mailings, monitoring responses, updating student records, preparing documents, awards, reports)
- Prepare and organize the order of graduates and documents for the ceremonies
- Check and verify the accuracy of student fees and initiate fee adjustments, if required
- Communicate and advise fees staff regarding student registration and status
- Assist with the release of student refunds
- Produce fee invoices for students as required
Qualifications:
- Two-year Diploma in Office Administration, Business, or a related field of study
- Two years of experience working in a student-oriented customer service environment preferably in a post-secondary institution with experience working with a large database
- Excellent interpersonal and public relations skills
- Understanding and appreciation of issues/challenges facing students
- Compassion and ability to determine when flexibility can and should be exercised
- Highly developed client service skills and ability to respond with tact, diplomacy, discretion, and professionalism
- Excellent oral and written communications and listening skills
- Demonstrated ability to work under pressure and in demanding situations
- Ability to work both independently and in a team environment
- Good problem-solving skills
- Ability to multi-task and meet deadlines
