        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

 
PREFERRED SKILLS/capabilities: 

Valid BC Driver’s License
Background check consent
A clear vulnerable sector screening
A clean drivers’ abstract
Completion of online Armatus Abuse Prevention Training and required Health and Safety training

This is a permanent, part-time position based on 24 hours per week.  The work schedule is determined in consultation with your supervisor and may vary according to requirements of responsibility.  Applicable shifts include a ½ hour unpaid meal break.

Shifts:  Monday 9:00 a.m. to 4:00 p.m., Tuesday & Thursday 9:00 a.m. to 4:30 p.m. and includes a ½ hour unpaid meal break and Friday’s 9:00 a.m. to 12:30 p.m.  

 Please note there will be a seasonal temporary increase in hours to a maximum of 37.5 hours per week for a short period of time during the months of November and December and includes a ½ hour unpaid meal break as required.

 

Permanent part-time employment with The Salvation Army (less than 25 hours per week) will provide you with a competitive compensation and benefits package that includes:  vacation time, sick days, employer matching RRSP contributions and Christmas Grants.

KEY RESPONSIBILITIES:

  1. Client Services and Program
  • Conduct initial intake application and screen clients for LEAP, OESP, general emergency assistance, including food, clothing, household needs, referrals etc.
  • Refer clients to the Corps Officer for pastoral assistance.
  • Assist with the activities of the food bank; organize and ensure that the food bank is tidy and clean, adequate stock levels, sort and process donated goods and process clients through the food bank as directed by the Community and Family Services Manager.
  • Periodically review program assistance guidelines with the Corps Officer and Community & Family Services Manager.
  • Network and refer to The Salvation Army, government, and community social service providers to coordinate resources for the benefits of clients and program when necessary.
  • In conjunction with the Community and Family Services Manager, organize, plan, and deliver seasonal and special programs as required. e., Summer Camp program and applications, Christmas Hamper applications for toys and food hampers and Christmas toy and food drives and Christmas Kettles and various other programs; ensure that ministry objectives are accomplished.
  • Maybe required to pick up community donations of food etc.
  • Work with other family services staff to maintain, promote and improve the profile of The Salvation Army in the community.
  • In conjunction with the Community & Family Services team develop, implement, and evaluate various programs for service clients & community.

 

  1. Supervision
  • May recruit, support, assist, supervise, train and schedule volunteers, demonstrate work methods and ensure they work together to achieve the purpose of the organization and enhance the ministries of The Salvation Army.
  • May assist in the development of strategies and recommendations for volunteer development.
  • In consultation with the Community and Family Services Manager may organize regular meetings with volunteers.

 

  1. Finance and Administration
  • Ensure that Ministry Unit policies and procedures are followed for the safe/secure handling of all monetary donations received and appropriate documentation of gift cards and various vouchers is maintained, i.e., transportation, Tim Horton, and clothing vouchers.
  • Maintain written records, logs of activities, including activity reports and statistical information.
  • Maximize utilization of all computerized management programs, i.e., Link2feed program and/or external programs as necessary.
  • Maintain accurate records of client information on computerized systems while maintaining confidentiality and prepare/provide statistical reports and monthly statistics as necessary for the ONT – London Office reporting, (SAMIS).
  • Assist the Community & Family Services Manager with managing statistics and generating reports as directed.

 

  1. Health and Safety

·       Ensure that the food bank and area is maintained regarding appearance, condition and safety as recommended by Public Health etc.

·       Seek out continual education and resources for all areas of responsibilities, specifically regarding COVID-19 requirements as per the local Health Unit.

·       Ensure the safety and comfort of the ministry unit by maintaining cleanliness and food safety etc.

·       Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures.
 

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education, Qualifications and Certifications:

  • Completion of a Community College Diploma, Social Services Worker, counselling or equivalent in a related field of study.
  • Food Bank Canada Food Safety Course
  • First Aid and CPR Certification.
  • Non-Violent Crisis Intervention Certification would be an asset.
  • Valid Ontario Class “G” Driver’s License, own vehicle, and insurance, provide an original copy of current driver’s abstract that it satisfactory to The Salvation Army, in its sole discretion, is required.
  • Provide an original copy of a Background Check that is satisfactory to The Salvation Army, in its sole discretion, is required. The screening is secured either through the national Canadian Police Information Centre (CPIC) or through a local police detachment.
  • Screening through The Salvation Army Abuse Registry.
  • Alternative combinations of education and experience may be considered.

 

Experience and Skilled Knowledge Requirements:

  • Minimum of two (2) years of prior related experience, including experience working with multi-barriered persons, individuals with mental health issues a variety of social service programs.
  • Minimum of one (1) year of prior related supervisory experience.
  • Knowledge of community-based resources and experience networking with government and social service agencies.
  • Proficient in working in a computerized environment; must demonstrate strong skills using Microsoft Office Suite: Word, Excel, Power Point
  • Develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
