Job description

Role Title: Project/Implementation Manager

Role Function: The Implementation or Project Manager has the overall responsibility for the successful initiation and execution of the tasks and action items (the tactical) of a project strategy and plan. They manage a team of implementation specialists and ensure all of the a Cue Lead Team and client’s needs are met throughout the implementation process.

A ship needs to make port (The Goal) and charts a course (The Strategy) that needs to be actioned by the crew (The Tactics). The Implementation Manager oversees the tactics of the crew so the plan is successful in achieving the goal.

Objectives:

  • The Implementation Manager the a Cue Lead Team, the Clients and the Subcontractors for all tasks and implementation requirements on the projects they have been assigned to manage.

Responsibilities

  • Administer everyday workflow of all implementation processes and provide tactical and technical support to lead marketing/sales team, subcontractors and clients.
  • Maintain all project plans and ensure compliance to timeframe and collaborate with the Lead team, Subcontractors and Clients for all implementation processes.
  • Manage Click up board for each client project (day-to-day) – create detailed task descriptions, add due dates, updates, reminders, and delegate tasks appropriately.
  • Ensure a seamless client-facing team from a tasks and deliverables perspective. (day-to-day)
  • Delegate to Admin Assistant to Follow up with subcontractors on tasks and deliverables; notify a Cue Lead Team if there are any issues with subcontractors and progress.
  • Delegate to Admin Assistant to Set up and schedule meetings between clients, subcontractors and a Cue Lead Team.
  • Create meeting notes documents and create Asana tasks based on action items identified in the meeting.
  • Make note of misc. client requests and tasks, add them to Click up, and delegate to Client Relationship Manager for further instructions.
  • Work with Chief Marketing Associate to onboard subcontractors to client projects; ensure everyone has what they need to get started. Production meeting with subcontractors for all projects/tasks $500 and over.
  • Coordinate with the Lead Team to resolve any project and administration/operation issues within the required timeframe and recommend appropriate changes to all systems and procedures and continually evaluate all implementation tools/systems for the team.
  • Delegate to Admin Assistant Admin Implementation: Other misc. internal tasks (such as setting up email signatures, managing GSuite, managing other software tools utilized for team implementation etc.)
  • Delegate where possible to Admin Assistant to Create a Cue templates, working documents, organize Google Drive on the instruction of the a Cue lead team.
  • Ensure smooth transition hand-off of implementation plan/strategy to subcontractors and/or implementation team.
  • Create a ‘scope of work’ required for tactical implementation to provide to subcontractors and /or implementation teams.
  • Main contact point teamed with the Chief Marketing Associate and the Chief Sales Associate between client and a Cue team (subcontractors) for tasks, deliverables, and strategy.
  • Provide an overview of ongoing tactics, upcoming tactics. Gather outstanding information/feedback to take back to the a Cue Lead Team. Ensure clear communication across client-side, subcontractors, a Cue Lead Team; take meeting notes with action items for the input into Click Up.
  • Provide progress updates for tasks to clients, subcontractors, Client Relationship Manager and a Cue Lead Team.
  • Participate in monthly and/or quarterly internal team marketing and sales production meetings with the Lead Team and the Client Relationship Manager to provide an overview of current projects, upcoming projects.
  • Participate in monthly and quarterly client marketing and sales meetings to provide a data/tactic update (as a representative of all team members who are not present at the meeting.) Note: Lead Marketing or Sales Strategist present in the meeting will provide interpretation of that data during the information session with the client.
  • Reporting Structure/Communication:
  • Communicate with the Client Relationship Manager to identify and define task requirements, scope, and objectives to track and manage tasks and tactical implementation effectively.
  • Direct communication with clients, subcontractors, a Cue lead team
  • Finalize tactical documents to deliver to client
  • Set up meeting with client to go over tactical plans and campaigns
  • Decision Making and Sign Off Authority:
  • No sign off authority, generally.
  • Always needs sign off from a Cue lead team before final document delivery to client; no authority to directly deliver document to client without review
