        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

Description

The Community and Family Services Coordinator will provide support and assistance to the Community and Family Services in various programs related to community and client support in accordance with Salvation Army mission, values, and standards.

KEY RESPONSIBILITIES:

General

  • Ensure the ministry objectives are consistently accomplished and that a spiritual focus is applied to all program initiatives.
  • Ensure that all duties are completed in accordance with the principles, standards, policies, and procedures of The Salvation Army.
  • Assist the Director with ongoing strategic planning to ensure programming reflects client need as these may evolve in our changing socioeconomic climate.
  • Work with the Director to ensure that programs (including program reviews, inspections, and audits) meet contractual, legal, and internal requirements.
  • Serve as a resource person to the Director in matters of community relations and media as related to the Community and Family Services.
  • Ensure compliance with policies and procedures as it relates to external funders.

Program

  • Oversee and provide Pathway of hope programming to ensure that it meets DHQ/THQ criteria and is carried out in a manner that supports the best interests of the clients.
  • Conduct client intakes, assessing theirs needs and determining how we can best assist them; refer to the POH Caseworker.
  • Work on programs that will link clients to our church family, and church programs whenever possible.
  • Interview, assist, evaluate, and provide one-on-one consultation with clients, and implement plan of action with client.
  • Ensure food donations are organized by date and in appropriate locations; utilize FIFO food management.
  • Oversee food bank operations – ordering and/or receipt of food donations, recording, general cleanliness and organization.
  • Receive referral from other agencies to meet the needs of clients within Food Bank resources.
  • Responsible for making sure any concerns with maintenance and general cleanliness of the Food Bank are forwarded to Director.
  • Develop and maintain a good understanding of services provided by external agencies.
  • Share food products with other community service agencies to reduce wasteful dumping at ‘end of date’.
  • Network with Salvation Army, government, and community social services providers to coordinate resources for the benefit of clients and program.
  • Coordinate/organize/develop annual/seasonal donation and fund-raising efforts such as: Christmas Kettle Campaign, Summer Adventure Camps, other community outreach programs etc.
  • Required to be involved in the local Emergency Disaster Programs, assist in emergencies.

Human Resources

  • Recruit, train, and supervise volunteers as needed to support the food bank
  • Responsible to review and assign weekly workload for all Community and Family Services staff/volunteers.
  • Develop strategies and recommendations for staff and volunteer development.
  • Responsible for preparing employee/volunteer work schedules.
  • Ensure that employees/volunteers maintain any mandatory training or certification; identify any training needs and reports to the Director.
  • When applicable ensure that all processes and expectations outlined in the Student Placement Policy are followed.

Health and Safety

  • Monitor staff and volunteer safety practices in compliance with health and safety standards, and prepare, submit, and act on incident reports; provide calming intervention as required ensuring the safety of everyone.
  • Responsible to work in compliance with the Ontario Health & Safety Act and Regulations.
  • May perform workplace inspections as required.
  • Assist in the orientation of new staff and volunteers regarding health and safety procedures.
  • Responsible to report any serious health and safety infractions or problems in accordance with policies to the Director.
  • Participate in the supervision of Early and Safe Return to Work plans where applicable.
  • Ensure the Community and Family Services Department is cleaned regularly according to acceptable health standards and that physical property is maintained, arranging for repairs as necessary
  • Report any safety hazards, maintenance problems, equipment, or supply needs to the Corps Officer.
  • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures.

Administration and Finance

  • Maintain accurate records of client information on The Salvation Army’s computer system while maintaining confidentiality and providing statistical reports (SAMIS).
  • Maintain accurate written records, logs of activities, including activity reports and statistical information.
  • Ensure clients are registered in Link2Feed and documentation and detailed case notes are kept up to date in a timely accurate manner.
  • Maintain supply of food products and Gift Cards for distributions and ensures accuracy of same.
  • Provide input in the development and implementation of policies and procedures for Community and Family Services programs.
  • Answer telephone & direct or respond to calls promptly; receive visitors at the building in a timely manner.
  • Create, review, and distribute, where necessary, letters, reports, signs, etc.
  • Remain up-to-date and proficient in use of all office equipment relative to job duties

Perform other position related duties as required.

WORKING CONDITIONS:

  • This is a permanent full-time position based on 37.5 hours per week.
  • Schedule may vary according to requirements of responsibilities – some weekend and evening work may be required; flexibility is required as it relates to hours of work.
  • The Supervisor will set the hours of work and work schedule.
  • Ability to repeatedly lift 40 pounds.
  • Working environment is typically in the office in generally agreeable conditions.
  • This job requires reaching, bending, and stooping frequently, working in a standing position for periods of time.
  • Dealing with difficult people and verbal abuse.
  • Travel is required and associated with this position.

Normal hours of work Monday to Friday, 10:00 a.m. to 6:00 p.m. and includes a ½ hour unpaid meal break.

 

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education, Qualifications and Certifications:

  • University Degree or College Diploma in a related field.
  • Alternative combinations of education and experience may be considered.

Experience and Skilled Knowledge Requirements:

  • Minimum of two (2) years of prior related experience, including, experience in a specialized social services program; inclusive of supervisory experience.
  • A minimum of one year of prior related experience in managing a Food Bank department.
  • Supervisory/management skills and the ability to lead, coach and motivate.
  • Experience dealing with office equipment and tools.
  • Knowledge of community-based resources and experience networking with government and social service agencies.
  • Proficient knowledge and use of Link2Feed and SAMIS operating systems will be an asset
  • Valid Ontario Class “G” Driver’s License, personal vehicle required and insurance, current copy of driver’s abstract for review and verification that is satisfactory to The Salvation Army, in its sole discretion, is required.
