        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

 
PREFERRED SKILLS/capabilities: 

Valid BC Driver’s License
Background check consent
A clear vulnerable sector screening
A clean drivers’ abstract
Completion of online Armatus Abuse Prevention Training and required Health and Safety training

Description

The Human Relations Advisor will primarily perform full recruitment cycle activities and HRIS records management.  The Advisor will also provide day-to-day coordination and support of additional human resources activities including, but not limited to benefits administration, performance management support, labour relations support, leaves and disability management coordination, health & safety, HRIS data integrity and HR records maintenance.

 

DAYS and HOURS of work: Monday to Friday; normal hours of work are 8:30 AM to 5:00 PM; ½ hour unpaid meal break

KEY RESPONSIBILITIES:

Recruitment, Selection & Onboarding

Coordinating the recruitment cycle – this includes but is not limited to completing job requisitions, job postings, pre-screening, developing interview questions, scheduling & conducting interviews, conducting reference checks, advising supervisor/manager in the selection process, preparing offer letters and employee files.  Conducting/facilitating onboarding and general orientation.

HRIS Administration, General Admin, and Reports

This includes maintaining the personnel files, training records and HRIS records; maintaining lists; creating reports; and upkeep of HR tools and resources.

Compensation, Benefits, and Job Design

Maintain job descriptions in accordance with TSA standards and, for union jobs, collective agreement requirements; process wage changes for union staff in accordance with the collective agreement; administration of the group insurance and group RRSP programs through processing employee enrolment and changes via TSA Employee Benefits in a timely manner.  Assist employees with their queries.

Labour Relations

Assist with negotiations and bargaining of collective agreement; ensure compliance with collective agreements.

Employee Relations

Serve as link between management and employees by handling questions and helping resolve work-related issues; recommend ways and methods of improving the overall employee experience

Health & Safety

Assist with the Health & Safety programs; coordinate WSCC claims and subsequent updates and documentation, and respond to general WSCC queries

Training

In consultation with management, analyses training needs, and coordinate and/or facilitate training events.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

*NOTE: For some jobs, you may be required to provide validated educational documentation.

Education/Certifications:

  • Post-Secondary education in Human Resources or equivalent
  • A CHRP designation (or working towards completion)

Experience:

  • 2-3 years of experience in the human resources field
  • Experience in the administration of benefits and compensation programs
  • Working knowledge of HR information systems; UltiPro would be considered an asset
  • General knowledge of labour relations, collective bargaining, and collective agreement interpretation
  • General knowledge of applicable employment legislation

Required Skills/Knowledge:

  • Demonstrates good verbal and written skills, effective listening skills and organizational skills.
  • Demonstrated ability to present information effectively in a group setting for training purposes
  • Demonstrated ability to serve as knowledgeable resource to management and employees
  • Detail-oriented with a high level of accuracy in data entry and document creation
  • Above-average computer proficiency in Microsoft Office.
  • Ability to work within the mandate of and embrace the mission of The Salvation Army
