        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

POSITION PURPOSE SUMMARY:

Reporting to the Regional HR Manager along with the Executive Director, the Human Relations Advisor is responsible for providing HR administration and support. Day-to-day activities include staff recruitment, hiring, writing of job descriptions, salary reviews, administration of benefits, and implementation of human resources policies and employee programs and services, legal compliance.

HOURS:

  • Full Time – 40 hours per week
  • Monday to Friday, 8:00 AM to 4:30 PM

KEY RESPONSIBILITIES:

Performance Management

  • Acts as resource to management team on performance management. May attend coaching and disciplinary sessions, drafts and/or review documentation, and ensures compliance with statutory and Divisional Headquarters requirements for terminations (i.e. seeks approval from Divisional Commander via BCER for layoffs or termination with/without cause).
  • First point of contact for investigations under TSA Workplace Harassment, Discrimination and Violence Prevention policy.
  • Serves as a link between management and employees by handling questions and helping resolve work-related problems.
  • Ensures completion of performance appraisals as per TSA policy and audits annually for Belkin House completion.
  • Conducts exit interviews to identify reasons for employee termination, and prepare periodic reports.

Compensation, Benefits, Job Design

  • Processes compensation requests in accordance with internal and Divisional Headquarters procedure (obtains DHQ approval for non-union salary transactions) and completes Personnel Information Change Forms (PICFs) and Employee Transaction Forms (ETFs) for new hires, changes in status and/or salary and terminations.
  • Ensures Territorial employee benefit and RRSP programs are consistently applied within Belkin House and that the administration of these programs complies with the terms of the master contract(s). Processes employee enrollments, changes, and terminations in all employee benefit programs.
  • Develops and updates job descriptions based on TSA standards and collective agreement requirements.
  • Provides advice and assistance to local management regarding Territorial Job Grading System and wage scale and ensures management/non-union positions comply with same.

Recruitment

  • Delivers recruitment services including front-end needs analysis in consultation with managers, job posting, sourcing, interview process, selection and employee offers. Participates in interviews for management positions and may facilitate interviews for front-line employees.
  • Develops and provides questions and scoring guides to Belkin House management, coordinates interview panels, administer and evaluate applicants.
  • Participates in hiring decision and checks/verifies references.
  • Prepares letters of offer, employee files and conducts new employee orientation.
  • Provides current and prospective employees with information about policies, job duties, working conditions, wages, opportunities for promotion, and employee benefits.

Orientation

  • Coordinates arrival of new employees including arranging required on-line policy training, sign-off of policies, handbook, and liaises with departmental management to ensure on-the-job training as appropriate.

Policy and Procedures

  • Acts as resource to Belkin House management in respect of policy and procedure as outlined in the Territorial Employee Relations Policy and Procedure manual
  • Draft and distribute communication to local management regarding changes to policy or policy reminders
  • Assists in the development and implementation of programs that will drive increased employee satisfaction and commitment levels such as employee surveys, employee communications and employee events.
  • Develops and/or administers special projects such as employee recognition

Training/Organizational Development

  • In consultation with senior management, analyzes training needs and coordinates training programs.

Health and Safety

  • Claims Management: Investigates and reports on industrial accidents and injuries for WorkSafe BC and insurance carriers.
  • Receives Form 7s and occurrence reports, inputs into data base, manages claims.
  • Health and Safety: oversees maintenance of records of mandatory training.
  • Participates as member of OHS committee, prepares agendas and produces minutes (alternately with unions as per collective agreement requirements.)
  • Coordinates appropriate training and action items

Statistics and Reports

  • Works with Business Administration to produce reports on absenteeism rates
  • Maintains records and compiles reports on matters such turnover and performance appraisal completion
  • Analyzes data and reports to identify and determine causes of personnel problems and develops recommendations for improvement of personnel policies and practices.
  • Performs other duties as required.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education/Certifications:

  • The successful job applicant will have completed an Undergraduate University degree (e.g., B.A.,) or equivalent education and experience in a related field.
  • Required certification: Has or is working towards a professional designation (e.g. Chartered Professional in Human Resources CPHR)

Experience:

  • Two years of prior related experience, preferably in a unionized work environment; and prior experience consulting in a relevant area.

Successful candidates, prior to hiring, may be required to provide:

  • Successful obtainment of Enhanced Reliability Status Security Clearance
  • Successful obtainment of the Criminal Record Check clearance through the Criminal Records Review Program
  • Successful obtainment of clearance through The Salvation Army Child Abuse Registry
