International Enrollment Representative

Our International Education department is currently recruiting for an International Enrollment Representative (casual)

The International Enrollment Representative – International Students is responsible for the successful stewardship of all activities relating to international students who are in the confirmed and registered phase of enrollment and facilitating their transition into commencing their program, as well as assisting with International Education (IE) events and onboarding processes as needed. The International Enrolment Representative – International Students works with other members of the department to ensure all related functions align with the IE department’s goals and objectives, the Academic Plan, and the College’s Business Plan and core values.

Serving as primary point of contact between Bow Valley College and international applicants – 50%

Responsible for supporting new student applications and enrolled international students in the confirmed and registered pre-arrival state with their transition to BVC in compliance with IRCC guidelines.

Knowledgeable and able to support students’ consideration and planning around immigration visa processing timelines and other preparations for start of term. Informs students about services available at the College.

Notifies students about changes in the program and advises on changes to their study plans.

Generates and distributes payment receipts and Letters of Acceptance.

Attends to complex inquiries received at the front desk including managing disgruntled students in-person.

Evaluates student issues for referral to the Registrar’s Office for special consideration, prepares recommendations and supportive case points for submission to the Assistant Registrar. Acts as the liaison with the Registrar’s Office and student in these cases.

Collaborates with representatives within the International Student Admissions and Enrollment team to facilitate the effective, streamlined transition of international students from prospective into registered status.

Monitors international student applications uploaded from international application system for accompanying requirements to complete admission package.

Serves as a liaison between the Registrar’s Office and prospective international students regarding missing application or admission requirements.

Monitors and tracks prospective international applicants during enrollment stages from applied through accepted.

Monitors education pathways and conditions of applicants, such as those pursuing multiple credentials or conditional acceptances.

Accesses electronic files and folders and uses Event Notes in Agresso or Virtual Application System to track the status of applicants and students, ensuring that supporting documentation and internal communication is accurate, up-to-date, and archived in accordance with guidelines and procedures.

Responsible for the professional editing of documents (Microsoft Office) and composing letters (communication templates, offer of Admission template, email templates).

Supports the department coverage of other enrollment representative roles during periods of peak activity or absence.

Provides front desk coverage as needed.

Ensures confidentiality of documents within department.

Engagement with Academic and other college units around prospective international student support – 10 %

Works with the International Events Representative supporting event management logistics as needed for orientation, International Development Week, International Education Week, and other events as organized.

Helps as needed for recruitment events including Open House, virtual fairs, and agent webinars or other events.

Works with the International Events Representative on international student retention initiatives such as newsletters, advisor webinars and liaises with the International Students Club as needed.

Manages phone and written communication with prospective students and external clientele – 40 %

Applies high standards of intercultural communication and customer service when attending to incoming phone inquiries.

Assesses the needs of each phone call to accurately determine whether their inquiry can be directly addressed or whether they need to be connected with an alternative contact point.

Helps prospective students identify suitable BVC program pathways and options in accordance with IRCC guidelines for temporary resident permit holders, including study permits, visitor visas, and temporary foreign worker permits.

Assists prospective and current learners understand information provided to them by the IE Department or other BVC stakeholders, as well as navigate the BVC website.

Helps clients understand the various considerations and potential options related to complex application/enrollment inquiries. This may include attending to disgruntled clients over the phone.

Navigates efficiently through the information in Unit 4 and Virtual Application System, including using specific tools to pull and retrieve information as it applies to supporting phone inquiries.

Prepares communications in print and digital format; taking into consideration cross-cultural communication and varying levels of English proficiency.

Job Requirements

Minimum Qualifications

Diploma

3 years of relevant experience

Customer service and administrative office experience including data entry, file management

Advanced writing and editing abilities; must have strong proofreading, grammar, spelling, and document editing skills

Strong verbal and written communication skills dealing with issues of cross-cultural communication and varying levels of English proficiency

Experience preparing communications in print and digital formats, including layout, design, writing, and editing

Intercultural competence

An equivalent combination of education and experience may be considered.

Preferred Qualifications

Experience working with international students.

Proficiency with spreadsheets, tables, forms, and word documents.

A familiarization with data management systems including experience interpreting data.

Formal, proficient, and professional communication by e-mail

Time-sensitive, customer service oriented multi-tasking and organization
