Your Opportunity:

Administrative Assistant and Business Support

You will play an integral part in ensuring efficient and effective day-to-day administration and completion of tasks for a variety of transportation assignments as well as operations of the business center.

Your Key Responsibilities:

  • Demonstrated critical thinking and analytical skills.

  • Excellent English written and oral communication skills. With experience writing and editing technical reports, reviewing technical documents, and presenting to internal teams and prospective clients.

  • Punctual, reliable, detailed oriented, task oriented, and organized.

  • Ability to successfully work independently and as part of a collaborative team in a fast paced, deadline-oriented and project-based environment.

  • Manage schedules in MS Outlook in planning/booking meetings and events for large teams with attendees from other offices and firms.

  • Participate in proposal preparation, including resume and project profile write ups, marketing content writing and graphics design.

  • Track and report on cost progress for the Stantec team for various projects.

  • Prepares month end cost reports for management and clients.

  • Attends various meetings, including client project meetings.

  • Prepares meeting agendas and takes meeting minutes.

  • Monitor insurance compliance for Stantec and its sub-consultants.

  • Prepares project file directories for audit purposes (ISO 9001 compliant).

  • Maintain, supports, and promotes a safe work environment while traveling to and from work, as well as project job sites as required.

  • Maintain project SharePoint site for the business center.

  • Assist with the process for new hires and onboarding.

  • Document management skills and familiarity with Oracle based financial management systems are an asset.

Qualifications

Your Capabilities and Credentials:

  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook, Project).

  • Communicate effectively orally and in writing.

  • Compile and analyze complex data.

  • Proficient in reading technical drawings and specifications.

  • Interact professionally with various levels of Stantec employees and client staff.

  • Valid driver license and good driving record required.

Education and Experience

  • Bachelor’s degree – Business, Public Administration, or other related field; or equivalent combination of education and experience. Minimum of 2 years of relevant experience.

Typical office environment working with computers. Familiarity with MS Teams for virtual meetings / presentations is preferred. Working from the Vancouver office at the minimum of 3 days a week or more depending on business needs is required for this role.

Pay transparency laws require employers to provide the following information for positions that may be in the following jurisdiction(s):

Salary Range(s):

  • Lower Mainland $56,000 – Lower Mainland $78,300 Min/Max Pay Range for postings located in BC (Lower Mainland includes Vancouver & Burnaby)

The final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible.
