This competition will be used to fill 2 temporary positions. One position has a term length of 2 years from date of hire and the other one has an expected end date of June 6, 2025.

The Dean of Students supports all students — undergraduate and graduate — in the pursuit of academic and personal success. The Dean of Students collaborates with faculties, offices, and services across all campuses to deliver effective programming and provides leadership on university policies and initiatives. The Office of the Dean of Students coordinates many services that strive to create diverse and inclusive support in all stages of the student experience, including: academic resources, career and professional development, health & wellness services, and community resources. The University Health Centre (UHC) is a unit within the Dean of Students portfolio that provides primary health care to the U of A community. The UHC provides comprehensive care through a combination of drop-in and appointment based services with an interdisciplinary team.

Position 

Reporting to the Administration Supervisor and working in a collaborative cross-team environment, the Client Support Specialist/Medical Office Assistant is responsible for clinical support throughout the University Health Centre (UHC). Registration, patient flow, records management, and answering patient inquiries are all administrative functions of this role. This position works in a physically demanding environment that includes long periods of standing and walking throughout the day and may include some early evening work.

Duties 

  • Provides functional and administrative support to the nursing team and UHC physicians to ensure efficient patient management
  • Provides reception services to UHC patients; greets and directs patients to appropriate area, registers patients for medical visits and responds to phone inquiries
  • Books appointments using an electronic medical record system
  • Manages and maintains all patient records and processes patient information requests while adhering to privacy requirements
  • Responsible for responding to alarms and addressing security issues that may arise within the centre
  • Provides administrative medical support services to the physicians that include booking diagnostic appointments for patients and recalling patients for follow-up
  • Receives patient payments as required
  • Ensures that medical inventories are maintained and medical offices are sufficiently stocked with appropriate supplies; includes cleaning medical instrument

Minimum Qualifications

  • Minimum High School Diploma, supplemented by Medical Terminology certification; equivalent combinations of education and experience will be considered
  • Minimum two years office experience, preferably in a medical facility
  • Experience working with Electronic Medical Records system, preferably QHR Accuro
  • Level 1 CPR and First Aid · Experience with blood pressure machine and urinalysis equipment
  • Excellent organizational and time-management skills
  • Up to date with all immunizations
  • Ability to work in a physically demanding environment that includes long periods of standing and walking

Preferred Qualifications 

  • Medical Office Assistant Certificate an asset
  • Medical Device Reprocessing in Community Setting Certification considered an asset
  • WHIMIS training would be an asset
  • Infection Prevention training considered an asset
