The Coordinator, AbbVie Institute of Health Education (AI) reports directly to the Head, AbbVie Institute, Patient Experience, and manages simultaneously numerous administrative tasks and responsibilities inherent and in support of the AI organization.

Main Responsibilities: 

  • Schedule team meetings and AI team events, take minutes during various meetings, and manage follow-up actions. 
  • Provide support to the AI management team. 
  • Manage external support requests. 
  • Manage contracts/work statements from suppliers for other learning activities as well as consultation meetings and training programs. 
  • Open and close purchase orders. 
  • Liaise with the Finance team to initiate supplier payments. 
  • Support the process related to the evaluation of health education activities. 
  • Track invoices and payments; monitor the purchase orders.

Requirements:

  • College level degree in administration or equivalent. Bachelor an asset.
  • Minimum of 5 years in a similar role.
  • Strong communicator in French and English, oral and written. Must be at advanced level in both languages.
  • Advanced proficiency with Microsoft office suite (Word, Excel, Power Point)
  • Knowledge of virtual collaboration tools to facilitate effective collaboration and coordination. 
  • Basic Graphic Design Skills an asset.
  • Experience with SAP an asset.
  • Experience in Pharma industry is a strong asset.

  • Quickly and efficiently navigate with the systems and learn new systems and software programs, if necessary.
