Job Description Summary

BASIC FUNCTION:

Primary responsibilities include: Assisting and advising Interdisciplinary Neuroscience undergraduate, graduate, and certificate students, as well as undecided majors wanting entry into these programs; Manage the organization of Interdisciplinary Neuroscience minor; Working alongside staff within the College of Pharmacy, College of Health Sciences, and College of Environment and Life Sciences for various tracks within major; Providing assistance to Director and faculty of INP with committees, events, curriculum, and other assignments; Serving as liaison to students, and, as required, Facilitating URI 101.

Duties and Responsibilities 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Provide academic counsel and advice to undergraduate, graduate, and certificate students within the Interdisciplinary Neuroscience program (INP). This also includes prospective students, and students seeking transfer admission to program.

Work closely with the INP Director and each graduate student (PhD, MS, and Certificate) and their respective faculty mentor to create programs of study (POS) that meet the criteria of both the INP and Graduate School handbook/manual. Aid the INP Director in reviewing each submitted POS, as well as other graduate student forms including Nomination for Graduation forms, Request to Add Degree forms, etc. prior to sending them to the Director for approval.

Under the supervision and guidance of the INP Director assist in reviewing and editing INP Handbook annually to ensure that all policies and procedures are up-to-date and correct.

Communicate regularly with the Director and the Graduate School to ensure that INP policies align with the Graduate School.

Serve as the primary contact for students having academic, problems, assisting them in resolving such issues and/or directing them to campus resources who can assist. Maintain close contact with faculty and the INP Director along with Early Alert concerning these student cases, as needed.

Manage the degree audit system for currency to new degree requirements for all programs. Assist with student audits each semester to ensure students are meeting program retention requirements.

Work closely with Enrollment Services team and INP Director to ensure that students’ eCampus Academic Progress Reports (APR) are running properly, to help students self-advocate and follow program completion.

Under the supervision of the INP Director and in collaboration with INP administrative assistant, oversee and manage INP budget. This includes ensuring that necessary funds are received for staff salaries, office supplies, marketing, operational costs, equipment investments, and completing transfers as necessary. Ensure that all funds are used within the required time in the correct fashion.

Manage INP procurement card. Under the supervision of the Director, overseeing and facilitating purchases, reconciling, and submitting the monthly statement for the Director’s approval.

Under the supervision of the INP Director, facilitate purchases and investments for NEU 262 lab as well as all other purchase orders for the INP. This includes working with affiliated faculty to obtain quotes, submitting college requisitions, receiving purchase orders, providing those to suppliers, and keeping track of deliveries and signing off on receivables. Mastered knowledge of eCampus Financials required: purchasing processes (CR, LV, IV), forms, codes, funds, receivables, and budget balancing. In addition, continued communication the INP Director, the Dean’s Office, other relevant URI offices, and various suppliers to ensure that all funds are used correctly and received on time.

Work closely with Purchasing, Controller’s Office, and P-Card office regarding all INP financials.

Work alongside Assistant Deans, advisors, and support staff within College of Pharmacy, College of Health Sciences, and College of Environment and Life Sciences to ensure protocol and procedure for each college is met, and students are able to earn their degrees within the various tracks.

Manage key responsibilities within Neuroscience minor. These duties include keeping track of all students, advising them, and ensuring that the INP has enough space in classes for these students.

Assist with training programs for all faculty, including the eCampus advising system, FERPA Guidelines, and student contact logs. Aid students in securing faculty advisors.

Under the supervision of the INP Director, oversee all permission numbers for undergraduate Neuroscience courses to ensure that INP students receive first registration for courses needed for degree completion.

Assist INP faculty with permission numbers for their courses.

Serve as the advisor for Freshman Orientation for all Neuroscience students as well as all transfer students on Transfer Day. Prepare all relevant documentation, such as manuals and presentations for orientations.

Assist in the certification of professional degree students for graduation, ensuring that they progress toward graduation in a timely fashion.

Evaluate transfer student transcripts, post transfer credits to eCampus, and contact students regarding completeness of requirements.

Help to coordinate and manage relevant program events with the INP Director and administrative assistant (e.g., semester meetings, program launch, annual meeting of the INP faculty in collaboration with the Director assistant, annual Neuroscience Symposium Graduation).

Work collaboratively with the INP Director and administrative assistant on creating a draft agenda for committee meetings, including the INP Executive Committee.

Under supervision of the Director manage the INP Student Liaison Committee, including the nomination and elections of graduate and undergraduate members.

Conduct and/or participate in all orientation sessions and recruitment programs, such as: Welcome Day, Admission Days, and other events that are deemed necessary. For instance, assisting with multiple recruitment sessions throughout the semester- both in-person and virtual.

Provide major support for student- and program-sponsored events during the academic year.

Work collaboratively with the INP Director, administrative assistant, and Enrollment Services to develop and maintain INP course schedules. This process includes ensuring that all course times work for Enrollment Services, INP students and faculty.

Assist the Director of INP program and curriculum committee in the submission of new course proposals and other curricular matters.

Work with the INP Director in maintaining close contact with Faculty Senate regarding submissions for courses, minors, and program changes.

Coordinate and work collaboratively with the INP Director in the teaching of individual sections of URI 101 for the Interdisciplinary Neuroscience Program.

Participate in the accreditation self-studies for the INP as they relate to Student Affairs, including assisting in the preparation of data analyses involving progression statistics, retention and graduation rates, and student learning.

Work closely with Career Services to provide up-to-date information to students related to their career and major choices. Help students with directed study process for the INP course (NEU 410). This process includes managing submitted NEU 410 syllabi for the INP Director’s review, serving as the main contact between the INP and students/faculty, and working with the Director in reviewing final NEU 410 report at the end of the semester.

Assist with the Living Learning Community (LLC)of Neuroscience. Aid INP Resident Academic Mentor, RAM, with various events throughout the semester. Also aid Housing and Residence Life in the selection and hiring of the INP RAM.

Work with the INP Director in helping to create marketing materials for INP and manage this process. For instance, working collaboratively with URI Marketing and the INP Director to create annual brochure that features photos of faculty and students of INP. Manage this process, the coordination of photos, and helping to create copy for the brochure.

Participate in other college and University projects designed to support INP students in academic matters.

OTHER DUTIES AND RESPONSIBILITIES:

Perform additional duties as required at the discretion of the INP Director.

LICENSES, TOOLS, AND EQUIPMENT:

Peoplesoft, Starfish, Brightspace, Zoom/WebEx, and other technology deemed necessary. Personal computers and printers; word processing, database management and spreadsheet software including Microsoft Office (PowerPoint, Word, Excel) and Google Workspace (Docs, Spreadsheets, Forms).

Required QualificationsREQUIRED:

1. Bachelor’s degree in neuroscience, biological sciences, psychology with neuroscience concentration, or related field.

2. Minimum of five years of professional experience in higher education working with students.

3. Demonstrated experience or training in academic advising and/or career counseling.

4. Demonstrated budgetary and/or administrative experience.

5. Demonstrated strong interpersonal and verbal communication skills.

6. Demonstrated proficiency in written communication skills.

7. Demonstrated ability to work with diverse groups/populations.

Preferred QualificationsPREFERRED:

1. Master’s degree in student affairs, adult education, student personnel in higher education, counseling, or related field.

2. Demonstrated knowledge of interdisciplinary neuroscience and the degree requirements for the Interdisciplinary Neuroscience Program.

3. Demonstrated experience with on-line information, presentation technology, and student records systems.
