        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

Valid BC Driver’s License

A clean drivers’ abstract

The purpose of this role is to provide support and guidance to Ministry Units using Clients and Programs Management System. This position works closely with the IT System Administrator

KEY RESPONSIBILITIES:

Application Management

  • Serve as one of The Salvation Army’s internal subject matter experts on the Clients and Programs Management System
  • In coordination with the IT System Administrator a thorough knowledge of the application, upgrades, and version releases.
  • Maintain structure for existing and new programs that The Salvation Army may operate (program headings, categories, service types, etc.) and ensures consistency between divisions.
  • Monitor onboarding of new TSA locations and implementation status of all locations (maintenance of master lists

Data Management

  • Review duplicate clients in all The Salvation Army’s Networks monthly and coordinate with ministry unit personnel, if needed, to merge files.
  • Review all Salvation Army user settings/permissions at least annually (likely completed monthly or quarterly in batches). Report concerns to the IT _ Systems Administrator

Relationship Management

  • Work with The Salvation Army’s IT _System’s Administrator to support and development of the Clients and Program
  • Management System Assists with the gathering requirements, designing and executing test cases.
  • Coordinate and communicate programs related to activities with Ministry Units

Data Management and Reporting

  • Promote consistency in use of data across the organization. Ensure consistent and accurate management analyses and reports.
  • Provide reporting assistance to territorial and divisional personnel.
  • Assist territorial and divisional grant writing personnel to mine specific data for new proposals.
  • Responsible to ensure that any policy in relation to Social Services or Corps will be enforced, i.e., privacy, etc.

Quality Assurance

  • Develop proactive measures to increase the quality of data collection and reporting.
  • Provide report to territorial and divisional personnel on data implications and utility to build capacity in program management and support improvements.
  • Support territorial and divisional personnel with program evaluation and established review processes (Corps Review, Social Services Accreditation, and Internal Audit).
  • Produce and review specified reports monthly to ensure data quality.

Training

  • Coordinate, develop and maintain end user training curriculum. Will involve IT as needed.
  • Support divisional and territorial personnel with specific training needs.
  • Educate divisional teams on data analysis methodology and utilization.
  • Assist with updates and redesign of training materials that support the client management system.

Communication

  • Ensure consistent communication by coordinating, planning, and conducting feedback meetings with appropriate stakeholders, as needed.
  • Participate regularly in ongoing meetings in support of Clients and Programs Management System implementation, maintenance, and development.
  • Coordinate and communicate programs related to activities with Ministry Units

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education/Certifications:

  • Completion of a formal university degree program of 3 academic years

Experience:

  • Minimum three years’ experience business experience in an organizational setting, with 2-3 years of non-profit experience.
  • Hands on experience on Information Management Systems
  • Computer literacy with word processing, spreadsheet, and database skills
  • Excellent working knowledge and experience in various software and reporting tools
  • Knowledge of data management, analysis and reporting systems
