Responsibilities:
Greets, assists and/or directs students and the general public.
Provides secretarial, technical and administrative support to the Faculty.
Receives and prioritizes all inquiries and responds to questions regarding eligibility, assessment criteria and application and selection process for all Education programs.
Provides basic information and assistance to students for all enquiries referring students to the appropriate Academic Advisor, Department Chair, and/or Associate Dean as required.
Monitors e-mails to the central Education e-mail account, forwards inquiries to various university departments, where appropriate, and follows up on requests.
Responsible for organization of remote information and orientation sessions.
Assists Faculty and Contract Academic Staff with Student Evaluations of Teaching (SET) by communicating issues with the SET Admin Team and providing instructions for access.
Runs enrolment reports to monitor registration and course overload during registration period.
Manages large volume of appointment bookings for Academic Advisors and reminds students of appointments for advising.
Act as a liaison between instructors, faculty, students, other University departments and external agencies.
Provides various types of correspondence and reports for Advisors and Administrative Staff review/signature.
Responsible for the opening and closing of the Faculty of Education General Office, Assignment Pick-up area and elevator, when working in-person
Coordinates the repair and maintenance of office equipment.
Ensures accurate inventory and adequate stock of all office supplies, coffee, and Faculty of Education gifts.
Organizes and maintains the Faculty’s bulletin boards ensuring that all postings are kept current.
Provides support for the Education Students Association as required.
Provides back-up to other positions in the area as required or assigned.
Qualifications:
High school completion and completion of a formal training program in office skills from a recognized institution
University education would be an asset
3-5 years directly related office experience
Knowledge of University of Winnipeg regulations, programs, policies an asset
Familiarity with Faculty of Education preferable
Good working knowledge of Microsoft Word required; knowledge of or ability to acquire other computer programs (i.e. Excel, Access)
Ability to exhibit maturity when responding to enquiries; good work ethic and sound judgment
Ability to plan, organize and coordinate activities to ensure completion within established deadlines
Ability to establish and maintain effective working relationships with students, staff, public and external contacts; tactful and diplomatic
Ability to gather and organize information into useful and explanatory formats
Ability to understand and communicate university specific policies, procedures, guidelines, regulations, deadlines and ensure compliance with them
Ability to multi-task with conflicting demands for attention
Problem solving and organizational ability with assessment skills required
An equivalent combination of education, experience, skills, knowledge and abilities may be considered.
