Job Summary: The academic advising department is seeking a Department Assistant, Academic Advising. This position is intended to provide support to the academic advisors and the advising leadership team in the administration and operation of the advising services for students across the institution.
Nature of work:
Reporting to the Director, Academic Advising
Responsibilities/accountabilities:
Screen and respond to student inquires (in person, by phone or email), refer to Academic Advisor as necessary.
Oversee several academic advising-related email inboxes.
Utilize student information systems such as Banner.
Assist Academic Advisors with a range of administrative-related tasks. These include (but are not limited to): BDMS filing, posting messages on the Canvas academic advising page(s) and assisting with the internship GPA review process.
Maintain website information related to academic advising.
Provide administrative assistance to the advising director and managers through minute-taking in meetings, scheduling of meetings and document management.
Oversee and coordinate the attendance system within academic advising.
Act as a point of contact for other areas of the institution for advising related matters.
Assist in the maintenance of several social media platforms dedicated to academic advising.
Assist in the oversight of work-study students.
Other duties as assigned by the advising leadership team.
Required Skills
The successful candidates will be customer service oriented with excellent communication and interpersonal skills. This individual will be proficient in MS-Word, MS-Outlook, MS-Excel, and be willing and able to learn other computer software packages as required. The incumbent will be a proven team player with strong organizational skills. Very good technical (computer) skills are required, combined with the ability to multi-task in a fast-paced environment.
Education
Completion of post-secondary education is required, a university degree is an asset.

Required Experience
1 to 3 years of experience is required. Experience in a student services role such as academic advising will be considered an asset.
