The Position

We are hiring an energetic and highly motivated individual to join our organization as a Program Assistant. This individual will join the Program Team, providing administrative and programmatic support to staff. The individual should have a strong commitment to operating in a team environment and be able to work with others to achieve common goals.

Responsibilities

• Review initial inquiries and applications, payment requests from grantees to assess compliance and reports
• Undertake filing, data entry, photocopying, bookings and scheduling of meetings
• Maintain physical and systems files
• Provide noon hour and vacation back-up to reception
• Provide back-up to the Program Associate team and take responsibility for other tasks as required by the company
• Follow detailed process guides and checklists to ensure integrity and adherence to internal due diligence requirements
• Communicate effectively with grantees and respond to questions from applicants and grantees about internal process

Qualifications and Experience

• High school diploma
• Three to five years administrative and reception experience
• Charitable sector and basic accounting experience an asset
• Proficiency with databases and Microsoft Office 365 (Outlook, Word, Excel, Teams)

• Extensive experience in handling reception and telephone responsibilities
• Thorough knowledge of English grammar, punctuation and spelling
• Strong organizational and time management skills
• Highly adaptable to change
• Exceptional attention to details, accuracy and deadlines
• Strong time management, organizational and interpersonal skills
• Positive can-do disposition and an aptitude for learning
• Ability to work independently in a collaborative, team-oriented environment
• Maturity and ability to exercise sound judgment in handling and protecting confidential and proprietary data and information
