        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

Valid BC Driver’s License

A clean drivers’ abstract

The Property Maintenance/ Custodial Coordinator position exists to ensure the cleanliness of the Weetamah facility and surrounding property, and to ensure that general upkeep of the building is maintained to provide a safe and welcoming atmosphere for visitors and staff.

This is a full-time position at 35 hours per week,  Monday – Friday, 8:30 am -4:00 pm with 30 minute unpaid lunch break.

KEY RESPONSIBILITIES:

Job duties range from custodial/janitorial work to minor building repairs and working with maintenance contractors.

In order to ensure proper maintenance of the Weetamah property, the successful applicant will:

  • Ensure the following tasks are done daily, through both hands-on work and delegation:
    • Clean floors, vacuum carpets
    • Change garbage cans/recycling
    • Clean up garbage outside on the surrounding property each morning
    • Sanitize/wash high-touch surfaces: doors, doorways, counter tops, chairs, etc.
    • Clean windows in doorways and high-use areas
    • Restock cleaning supplies & paper products
    • Clean Washrooms
    • Perform a security check of the building at the end of each day, ensuring windows and doors are locked, and report any concerns to supervisor
  • Ensure the following tasks are done on a weekly basis, through both hands-on work and delegation:
    • Clean/sanitize the chapel in preparation for events
    • Clean stairwells
    • Take recycling to depot
    • Check temperatures of walk-in cooler and freezers
  • Ensure the following tasks are done periodically, through both hands-on work and delegation:
    • Perform deep cleaning/shampooing of carpets
    • Perform stripping/waxing of floors
    • Clean vents throughout the building
    • Clean exterior windows
    • Check the mechanical and boiler rooms for water leaks and belt performance, and check filters. Arrange for maintenance as needed.
  • Perform minor repairs and misc. duties including: replacing of florescent lights & ceiling tiles, plumbing repairs, fixing office furniture & equipment, painting, lawn mowing/weeding, branch trimming, snow shoveling, de-icing, etc.
  • Coordinate the set-up and teardown of specified spaces for regular or seasonal events.
  • Supervise other maintenance department personnel under the direction of the Executive Director(s), including supervising Weetamah’s custodian, Fine Options Workers fulfilling their hours through temporary work placements, and volunteers helping with building maintenance.
  • Interact with building tradesmen ensuring they perform contracted services in a timely and professional manner. Ensure all tradesmen sign in and out of the office.
  • Maintain janitorial supplies and other supplies related to building maintenance, ensuring best possible pricing.
  • Pick up janitorial and/or maintenance supplies as required.
  • Ensure program vehicles are regularly cleaned and maintained.
  • Coordinate or assist with receiving and unloading shipments of goods for Community & Family Services, including assisting with the unloading, sorting and shelving of Weetamah’s periodic Allied Shipments.
  • Take unwanted items/donations to the Thrift Store as required.
  • Pick up donations of food and other donations as required.
  • Plan and coordinate renovation projects, including dry walling, painting, plumbing etc. Approval of supervisor must be established before any major items are initiated.
  • Participate in and possibly chair the facility’s Health & Safety Committee
  • Participate in building health and safety audits along with members of the Health and Safety Committee.
  • Perform walkabout inspections of the property at least annually with the Executive Director.
  • Assist in the ministry unit’s preparations for periodic accreditations.
  • Type up new (or edit existing) maintenance/Health & Safety policies.
  • Ensure Building Service Manuel is current. Communicate any required changes/updates to the manual to the Administrative Assistant.
  • Performs other duties as assigned.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education:

  • Completed High School
  • Certification in related trades would be an asset

Special Licenses, Diplomas, Certifications or Requirements:

  • Valid Class 5 Driver’s License with ability to drive a 15-passenger van (Class 4 Lisence would be an asset)
  • Clear Criminal Record Check and Vulnerable Adult and Child Abuse Registry Checks
  • Non-Violent Crisis Intervention, First Aid and CPR certification would be an asset
  • Certification in WHMIS or willingness to get certified

Experience:

  • Minimum 3 years of related experience in building maintenance and/or custodial work
  • Experience in working with Health & Safety procedures and/or training in the field
  • Experience in working with populations experiencing homelessness would be an asset

  • Ability to multitask/flexibility with interruptions
  • Basic computer skills
  • Ability to frequently operate industrial cleaning equipment and tools, mop/sweep, bend/twist, lift heavy items, shovel snow, etc.
  • High level of concentration required when operating maintenance equipment and working with potentially hazardous chemicals.
  • Provide direct supervision to at least one employee within the maintenance department
  • Ability to write reports
