        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

 
PREFERRED SKILLS/capabilities: 

Valid BC Driver’s License
Background check consent
A clear vulnerable sector screening
A clean drivers’ abstract
Completion of online Armatus Abuse Prevention Training and required Health and Safety training

The Admin Assistant position performs receptionist, secretarial and administrative duties.

HOURS:

  • Full time position based on 37.5 hours per week Monday to Friday days

KEY RESPONSIBILITIES:

  • Ability to represent and work within the mission, vision & values of TSA and Ridge Meadows Ministries
  • Consistently demonstrate compassion, respect and empathy
  • Support, where and when possible, the efforts of all clients, residents, volunteers, and co-workers
  • Maintain polite and professional communication in person, via phone, email, video conferencing and mail
  • Greet visitors, answer telephone calls and answer inquires and/or redirect inquires
  • Resolve routine inquiries
  • Handle sensitive employee, client and or program information in a confidential manner
  • Match volunteer’s skills and availability with work/activity needed and/or available, update and post schedule
  • Open and distribute in-coming mail/parcel(s) and process out-going mail
  • Use word processing to draft, type, proofread routine documentation such as letters, forms, email and other typing assignments
  • Schedule meetings, prepare agenda, and take minutes; type and circulates minutes
  • Photocopy and distribute materials, send and receive email/fax materials
  • File documents electronically and/or manually
  • Data entry and maintain databases (volunteer information, contact lists, hours worked, stats)
  • Maintain and order adequate stationery/office supplies and other supplies as requested
  • Arrange for maintenance of office equipment

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education/Certifications:

  • Completed High School and have minimum 1 year of related experience

Experience:

  • Strong service ethic and a friendly disposition with the public
  • Team oriented and able to take initiative
  • Ability to work with minimum supervision in a fast-paced environment
  • High standards of integrity, judgement and confidentiality

Required Skills/Knowledge:

  • Effective communication skills
  • Adaptability to change and frequent interruptions
  • Willingness to work with people from diverse cultural backgrounds
  • Computer and word processing ability
  • The performance of the job requires a frequent amount of sitting and keyboarding, while occasionally bending, walking, standing, and lifting up to 10 pounds
  • Food Safe, CPR, First Aid and Non-Violent Crisis Training an asset
  • Knowledge and interest in the programs and services of The Salvation Army an asset
  • Successful obtainment of clearance through the Criminal Records Review Program

 

Successful candidates, prior to hiring, may be required to provide:

  • Background check consent
  • A clean driver abstracts
  • Completion of our online Abuse Training and required Health and Safety training

PREFERRED SKILLS/CAPABILITIES:

  • Preference to those with a current valid BC driver’s license with clean driving record
  • Preference to those who have related diploma courses in field
