        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

 
PREFERRED SKILLS/capabilities: 

Valid BC Driver’s License
Background check consent
A clear vulnerable sector screening
A clean drivers’ abstract
Completion of online Armatus Abuse Prevention Training and required Health and Safety training

Part Time – Temporary (20 Weeks)

KEY RESPONSIBILITIES:

  • The Caseworker is required to perform their duties in a manner consistent with the Salvation Army’s core values, demonstrate team collaboration and provide support to our neighbours in an efficient, professional and confidential manner.
  • Develop and distribute/implement promotional materials for the program (flyers, social media posts, webpage information)
  • Network with other agencies working with seniors in the community to gain referrals for the program
  • Process program applications
  • Meet with clients and in order to provide assistance for material needs and spiritual guidance (intake interview, follow up appointments with clients, assess and provide material support offered by our office, pray with clients, make referrals to other community supports as needed)
  • Maintain frozen meal inventory (order, receive, store)
  • Process invoices related to the program
  • Maintains accurate financial reports related to the Senior’s meal program.
  • Prepare and submit grant reporting
  • Network and refer with government and community social service providers to coordinate resources for the benefit of the individuals in the program (attend community meetings, seek out and apply for grants, etc.)
  • Assists with seasonal and special programs (such as Christmas hampers, toy distribution, summer camps, emergency disaster services, community dinners, teen anger skills development program, etc.)
  • Provides administrative support (answering phone, greeting people coming into the office, maintain databases, reconcile finances, receive and process donations, issue receipts, etc.)
  • May perform front line intake case work such as issuing Thrift Store vouchers for clothes and household goods.
  • May participate in case management meetings for the benefit of individuals served.
  • Recommends and assists in the development of new program/policy initiatives to address ongoing neighbour needs.
  • Maintains confidentiality and keeps accurate files/case notes.
  • May provide supervision to students on placement or to volunteers.
  • Regularly attends to self-care through appropriate de-briefing, etc.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • The successful job applicant will have completed high school and will have some training and experience in human services
  • Valid Driver’s licence and clean driver’s abstract

Experience:

  • Experience working with marginalized communities

Required Skills/Knowledge:

  • Strong communication skills – written and interpersonal
  • Organizational skills – scheduling, proposals, case management
  • Technological skills – G-suite, Microsoft Office and other software systems

The performance of the job requires:

  • A moderate amount of computer work
  • Occasionally leading meetings/training workshops
  • Lifting items up to 20lbs
  • Intervening in physical confrontations.

CONCENTRATION REQUIRED:

The performance of the job requires:

  • A moderate amount of computer/word processing
  • Attentive listening,
  • Alertness to escalated reactions of clients.

RESPONSIBILITY FOR FINANCIAL RESOURCES:

  • The incumbent may receive monetary donations and process to business department according to operating policies.
  • The incumbent may also be responsible for handling gift cards according to operating policies.

RESPONSIBILITY FOR HUMAN RESOURCES:

  • The incumbent may be responsible for overseeing practicum students and volunteers and may demonstrate work methods to new and temporary employees.

WORK ENVIRONMENT:

The incumbent’s work environment is typically in the community ministries office and community.

The incumbent will work under the following disagreeable conditions:

  • Angry and abusive people
  • Work-related stress

EXPOSURE TO HAZARDS:

The job incumbent may be exposed to the risk of minor harm, injury or illnesses due to:

  • Physical attacks by others (i.e. violent/aggressive client)
  • Exposure to infectious diseases
  • Other potentially dangerous situations

PRECAUTIONARY MEASURES:

The preferred incumbent will have following training (in addition to health and safety rules):

  • Universal Precautions
  • Food Safe training
  • Non-violent crisis intervention training
  • Self-Care/Debriefing
