Job Information

The primary purpose of this position is the registration and management of students and their records, certification of students in accordance with GNWT acts, regulations, policies and departmental procedures. The position further coordinates activity, maintenance and responsibility with all SCG databases, longitudinal studies, evaluations and produces required reports and analysis. The position also provides administrative support to the Director and other divisional activities; similar to other administrative personnel.

Located in Yellowknife and reporting to the Director, School of Community Government the position performs the function of a registrar through the collection of student applications, registration of students and the on-going maintenance of official student correspondence, records and databases. Responsible for the operational leadership and the general management of the School’s student records, data collection, analysis and results reporting. The position must ensure the accuracy, reliability, integrity and security of the confidential information included in Student Records System, including courses taken, marks, attendance, personal information and certification levels for approximately 13,000 course registrations, 4,500 individual students, 700 – 900 annual registrations, and 60 – 100 deliveries of courses or workshops.

Critical knowledge, skills and abilities:
Excellent organizational and administrative skills to annually administer 700 – 900 student records.

Knowledge of statistical analysis tools including SPSS.

Attention to detail and high level of accuracy in regards to confidential student records.

Application abilities with databases and management systems.

Knowledge of generally acceptable bookkeeping, accounting and financial procedures

Knowledge of ARCS/ORCS/DllMS.

Superior communication skills suitable to deal with senior staff of education institutions and government staff that visit office to register and/or deal with coordinators.

Excellent interpersonal and empathy skills to deal with students facing disappointing results.

Possess cultural awareness.

Ability to work independently and be a self-starter.

Typically, the above qualifications would be attained by:
Computer software expertise involving Database Manipulation and Management, Application Design and Development and Microsoft Office User Specialist.

Additional training and certified in Microsoft application as Word, Excel, Outlook and PowerPoints.

Grade 12 plus diploma or a combination of business administration courses plus 3 years directly related experience.
