Support Officer, School of ECE

What responsibilities will you have in this role?

  • Coordinates human resource (HR) processes for part-time support staff, and student hiring, contract implementation in accordance to HR policies and collects/reviews/processes Payroll for 12 Lab Schools.
  • Ensures that all required staff are adequately trained on Cornerstone (HRIS) to facilitate hiring process.
  • Reviews, accuracy approval and dissemination of employment contracts. Follows up with new employees to resolve technical issues and advice with questions regarding payroll related questions.
  • Liaise with HR, Payroll and the Lab Schools to ensure payroll information is accurately processed and analysed.
  • Meets with managers to gather missing information or correct errors on Contracts and Offer Letters; ensures Criminal Reference Checks and resume and supporting documents accompany contract.
  • Processes Contracts on Cornerstone corrects any discrepancies; troubleshoots Payroll problems (missed pay, overpayments, etc.).
  • Creates and maintains a Salary database for Non-Full-time staff (all part time and Supply staff and a filing system for all Non-Full-time staff for each Lab School within the School of Early Childhood Education (ECE).
  • Participates with the Lab Managers in their review of the Centers monthly Budget Status Reports; contributes to and carries out suggestions by the Managers to correct Budget irregularities.
  • Chooses pertinent manual or on-line Form (e.g. Budget Activity Report, Salary Expense Transfer, etc.) to expedite corrective Budgetary transactions; verifies supplementary procedures, where necessary, with senior staff of Finance Office.
  • Assists Operations Manager by tracking Staff Leaves and Secondments of Full-time staff to insure that replacement costs are recovered at Fiscal Year-End.
  • Accesses System wide, computerized spreadsheets (e.g. FAST) to confirm that transactions have been completed.
  • Investigates abnormalities on all Schools’ Invoices; Acts on behalf of lab mangers to resolve minor Finance or Accounting issues.
  • Expedites Schools’ Awards and Bursaries; creates and maintains databases and/or filing systems of and for all Budget/Finance related activities.
  • Ensures that all Ministry Policies and other related Licence Materials are up to date and circulated to all centres; provides onsite support to lab school offices.
  • Provides minor service to students in the absence of other office staff (e.g. accepts assignments from students, books Information Sessions, introduces students to Program Coordinators, etc.).

  • This is an itinerant position; the candidate provides support to the offsite lab schools on a rotational basis.
  • Other related duties as assigned.

What qualifications do you need for this role?

  • Three year diploma/degree or equivalent in Business Administration or related Diploma.
  • Minimum three years’ experience in an intermediate, administrative support role in a Business, Not-for-Profit, or Educational environment.
  • Experience with College Cornerstone, Fast, Banner, budget reporting, Children’s Services, ECE childcare policies.
  • High degree of diplomacy and discretion in dealing with sensitive issues and matters of confidentiality.
  • Proven interpersonal and customer service skills to liaise with internal and external stakeholders; excellent negotiation and conflict resolution skills.
  • Excellent analytical and problem solving skills in order to identify problems, determine possible solutions, and select appropriate actions.
  • Good independent judgement and ability to prioritize; proven ability to take initiative, work independently and as a team member.
  • Superior organizational, multi-tasking and time management skills are required; ability to cope under pressure associated with the management of numerous complex and demanding tasks and competing deadlines; detailed oriented.
  • Experience with guiding, advising and training on technical matters.
  • Demonstrated ability to learn quickly and stay abreast of changes to College policies and procedures.
  • Demonstrated commitment in delivering excellent service to others as this is key in supporting the success of our students and our College.
  • Strong communication, collaboration, teamwork and people skills.
  • Effective ability to interact with others and deal with situations in ways that respect diverse backgrounds, experience and styles.
  • Flexibility in adapting to change and in participating in consultative decision-making processes.

Hours of Work: 11:00 am – 7:00 pm.
Interview process may consist of a practical skills component.
