        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

 
PREFERRED SKILLS/capabilities: 

Valid BC Driver’s License
Background check consent
A clear vulnerable sector screening
A clean drivers’ abstract
Completion of online Armatus Abuse Prevention Training and required Health and Safety training

Description

This position will provide administrative work to manage and safely store youth files as per the Youth Criminal Justice Act. Manage and safely store financial records/ documents as per TSA policy as well as provide maintenance work to the facility and property.

 

KEY RESPONSIBILITIES:

  • Building Safety & Security including house checks, H&S inspections, lock reviews and Alarm operation.
  • General cleaning and custodial including cleaning floors, windows taking out trash and making the building presentable for tours
  • General painting around the facility and property
  • Weekly grass cutting and trimming of the property
  • Ensure the general upkeep of external property including clearance of snow and ice from sidewalks, de-icing of same, garbage receptacle collection, litter collection from grounds and the reporting of hazards
  • Carry out minor repairs in a variety of trades such as electrical, mechanical, carpentry, plumbing, plaster repair, painting, and hardware repair
  • Administration: reviewing the youth files prepare for archiving. reviewing the financial and operational documents against TSA policy and shredding and/or archives documents as per policy; arrange for storage at TSA archives
  • Replace light bulbs, fix minor items, call maintenance company for larger issues
  • Review reminder of the contents on the property, including storage shed and see what can be donated to other TSA facilities and what is garbage
  • Assisting with Building Showcasing by joining tours and answering operating and building related questions.
  • Perform additional duties and projects in areas of responsibility

Health and Safety

  • Adheres to all health and safety policies and procedures in place; complies with all instructions from the employer concerning health and safety as per the Occupational Health and Safety Act and WSIB
  • Ensures all procedures, rules and guidelines for the safety and security of clients and staff are enforced and respected

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education/Certifications:

  • High School education

Experience:

  • 1 year expertise in administration and maintenance work

Required Skills/Knowledge:

  • Operational building knowledge for 8465 Boston Church Rd.
  • Good oral and written communication skills
  • Deals professional with confidential information and documents
  • Able to multi-task in an environment where events are unpredictable and urgent in nature
  • Ability to work independently and achieve deadlines
  • Can identify and solve work related problems
  • Ability to use a variety of basic tools and operate cleaning machinery
  • Able to learn and use in-house software
  • Basic certification -WSIB in Health & Safety
  • Certificate in WHMIS
  • Additional training in the area of Health & Safety as required
  • Valid driver’s license
  • Attention to detail, problem solving and analytical skills.
  • Strong sense of integrity and confidentiality with professional ethics and a balanced sense of fairness and flexibility

HOURS: 24 hours per week
