        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

 
PREFERRED SKILLS/capabilities: 

Valid BC Driver’s License
Background check consent
A clear vulnerable sector screening
A clean drivers’ abstract
Completion of online Armatus Abuse Prevention Training and required Health and Safety training

This is a temporary, part-time position based upon 20 hours per week. Flexibility in scheduling is required. The work schedule is determined in consultation with your supervisor and may vary according to requirements of responsibility.  Applicable shifts include a ½ hour unpaid meal break. The operational hours of this facility are 24/7.

KEY RESPONSIBILITIES:

Service Responsibilities

  • Provides outreach case management support to programs at Lighthouse shelter including but not limited to clients in hotel and in the broader Halton area.
  • Monitors environment and clients/residents to ensure safety and security; completes regular client/resident status checks and room searches as required
  • Develops and implements case management of assigned clients/ residents; assists clients/residents in establishing goals, monitoring progress, and prepares discharge plan
  • Maintains and updates all appropriate documentation related to clients/residents; initiates any new documentation; completes all reports required by the funder and The Salvation Army
  • Provides safe storage and recording of prescribed medication
  • Coordinates and facilitates resident programming as required
  • Conducts all required shift change procedures prior to and after shift change
  • Performs intake and discharge procedures for clients/residents as assigned
  • Monitors appropriate behavior, intervenes in crisis situations, provides emotional support and advocacy
  • Distributes funds to residents in accordance with established guidelines
  • Engages in the development of inter-personal relationships that promote dignity and respect
  • Performs check-in of residents on passes in community; escorts residents and monitors behavior
  • Liaises with Police, Funders, court personnel, community agencies, families and other staff members
  • Provides orientation to newly hired staff, volunteers, students
  • Provides back-up support to front line positions and their functions as required
  • May be required to attend resident appointments
  • Attend and facilitate case conferences with case management team
  • Collect and record case management statistics daily
  • Prepare monthly statistical and outcome measures reports for Director
  • Review and forward weekly update reports to the Region of Halton
  • Review all resident intakes, discharges and restrictions
  • Prepare weekly Personal Needs Allowance requisitions
  • Attend all seminars and training sessions as requested by Management
  • Assist in any other duties or responsibilities as requested by Management
  • Adhere to standards based upon values and philosophy of The Salvation Army and the Halton Lighthouse
  • Participate in all Case Management and Staff Team Meetings
  • Knowledgeable of Fire Safety and Emergency Evacuation Plans
  • Responsible to work safely and report unsafe or unhealthy working conditions
  • Engage in formal evaluation sessions with his/her supervisor

Organizational Responsibilities

  • Develop an understanding of the Mission of The Salvation Army in Canada and its implications as related to position responsibilities
  • Maintain information in confidence as required
  • Participate as an active and responsible team member in all work groups through which position responsibilities are achieved
  • To attend all seminars and training sessions as requested by Management
  • Represent the organization in a professional and engaging manner
  • Participate in regular supervision and performance review process
  • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s Health and Safety policies and procedures.
  • Engage in formal evaluation sessions with his/her supervisor at 3 and 6 months during the first year of employment and annually thereafter
  • Participate in ongoing professional development and training.
  • Adhere to standards that are consistent with the values and philosophy of The Salvation Army and the Halton Lighthouse.
  • To Participate in all Case Management and Staff Team Meetings
  • To Be knowledgeable of Fire Safety and Emergency Evacuation Plans

  • Read and follow the Policy and Procedure Manual and the Employee’s Handbook. Every employee must read (and sign that they have read) a copy of the Residential Policies and Procedures, understand that they are required to adhere to all of the Guidelines in their dealings with Clients, as well as with Staff and Administration

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Completion of more than two (2) years of Community College
  • Post-Secondary Education or equivalent with a background in Social Work, i.e. Social Services or Human Services Diploma preferred
  • A minimum of one (1) year of prior related experience, including front-line casework experience in a social services environment
  • Solid background of how to work with people from diverse backgrounds and enjoy assisting others to solve problems
  • Strong-oral and written communication skills
  • Self-motivated and disciplined
  • Knowledge of issues facing persons experiencing housing crisis
  • Knowledge and sound understanding of the Mental Health and Addictions support systems available to individuals in the region of Halton
  • Knowledge of various social issues pertaining to homelessness and its impact on the families served
  • Good interpersonal skills
  • Ability to work independently as well as part of a team
  • Strong networking ability to develop healthy partnerships with new and existing groups and organizations within the region of Halton.
  • Certified in First Aid/CPR and Non-Violent Crisis Intervention
  • Valid Ontario Driver’s License, personal vehicle required and insurance, current copy of driver’s abstract that is satisfactory to The Salvation Army, in its sole discretion, is required.
  • Experience/Working knowledge of Microsoft Office
  • Provide an original copy of a Criminal Background Check with vulnerable sector screening that is satisfactory to The Salvation Army, in its sole discretion, is required. The screening is secured either through the national Canadian Police Information Centre (CPIC) or through a local police detachment.
  • Screening through The Salvation Army Abuse Registry.
  • An understanding of the mission and purpose of The Salvation Army in Canada.
  • Alternative combinations of education and experience may be considered.
