        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

Valid BC Driver’s License
Background check consent
A clear vulnerable sector screening
A clean drivers’ abstract
Completion of online Armatus Abuse Prevention Training and required Health and Safety training

The Thrift Store Supervisor/CFS Assistant provides both oversight of the operations of the Thrift Store in conjunction with Policy and Procedures as well as assisting with client needs through CFS.

 

KEY RESPONSIBILITIES:

Thrift Store Manager

  • Daily contact with clients, staff, customers, general public, etc.
  • Recruit and train volunteers, provide orientation for volunteers, work placements and corrections placements, log and submit volunteer and placement hours.
  • When required, evaluate volunteers and placement workers and submit accordingly
  • Ensure smooth running of store keeping donations sorted and prepared for display and endeavoring to keep clothing and other items moving as quickly as possible (i.e., through special sale days, etc.)
  • Keep regular contact with other businesses and the general public who make donations to the store.
  • Perform staff PEAC evaluations annually and meet with staff regularly as is the guidelines of the PEAC
  • Report to the CFS Program Supervisor on a regular basis.
  • Responsible for the scheduling of staff, recording hours and submitting to supervisor.
  • Responsible for Payroll time entries for staff
  • Responsible for all Thrift Store operations including, but not limited to: Following the guidelines for sales and executing the scheduled Sale days such as, Marvelous Monday or Fantastic Friday, maintaining a tidy, organized store and workspace, ensuring the rotation of stock is done in a timely and efficient manner so the stock is fresh and organized, ensuring all health and safety procedures are in place and followed, completion of all forms necessary in the operation of the store such as, WCB forms, and/or Incident Reports, ensuring everyone works together as a team to serve the community in a pleasant and efficient manner that is a positive representation of The Salvation Army and its mission. handling all complaints and store concerns in a pleasant manner and providing a resolution that addresses the customers’ / clients’ concerns but meets with the store policies and procedures, monitoring the store for theft, handle theft issues while following policy, ensuring all stock is priced appropriately and Production Logs are completed daily, performing end of day deposits, and delivering to bank daily, opening & closing of the store and ensuring that all shifts are covered, ensuring all donations received are recorded.

 

Community & Family Services Worker:

  • Meet with clients as per CFS schedule, assess client needs, issue food vouchers / or provide hamper of food, occasionally provide for other needs as directed by Community and Family Services Program Supervisor, enter client activity into Client Management database
  • Meet with transient clients, assess, provide assistance while following policies and procedures such as food, travel, shelter, clothing, etc. Enter data into Client Management System.
  • Distribute Heat Fund applications through Thrift Store & CFS, occasionally meet with clients to assist with application completion, provide information to submit or process locally via fax/email.
  • Receive Clothe-A-Family donations through the Thrift Store, organize the pick-up of clothing at participating locations, sort, label and display the clothing, and ensure the signature sheet for the program is complete and sent to CFS Program Supervisor at the end of season.
  • Work with the Christmas Cheer Committee – offer support, assistance with registration, attend meetings and direct donation requests to supervisor.
  • Act as a liaison between the Sydney office and the Christmas Cheer Committees.
  • Coordinate Victoria County Christmas program, distribute, advertise, process Christmas Daddies Applications, shop for Christmas “wish” items when requested by your Community and Family Services Program Supervisor, create shopping lists for applicants.
  • Record Christmas toy donation items, acknowledge the donors via mail.
  • Record Gift Card numbers when distributing cards, create a signature sheet for Christmas Daddies and submit to the CFS Program Supervisor.
  • Assist with any Corps requirements as required through CFS Program Supervisor, i.e. Emergency Measure Responses
  • Other duties as required and assigned – because The Salvation Army Sydney Community Church includes the ministries of both Community and Family Services operations and both Thrift Store Operations as well as the church functions, it is the expectation that everyone work together as a team and therefore, there are times when you may be called upon to assist in areas outside your normal area of responsibility.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

MINIMUM EDUCATION LEVEL ATTAINED:

The successful job applicant will have completed High School.

NOTE:  An alternative level of education and experience may be acceptable.

 

MINIMUM PRIOR RELATED EXPERIENCE:

The incumbent must have the following experience before hire:

Up to three months of prior related experience.

 

PHYSICAL EFFORT/DEXTERITY REQUIRED:

The performance of the job requires continuously standing for long periods of time, frequent twisting, bending, crouching, reaching, reaching overhead, pushing and pulling, lifting, kneeling and entering data for transactions.
