        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

The Emergency Disaster Services (EDS) Volunteer Recruitment Specialist will be responsible for full cycle volunteer recruitment including creating role postings, sourcing, and screening candidates, implementing recruitment strategies, and participating in on-boarding and process improvement

KEY RESPONSIBILITIES:

This role reports to the Territorial Manager of Emergency Disaster Services Training & Planning, and also works in consultation extensively with the Territorial Manager of Volunteer Services.

Volunteer Recruitment

  • Evaluate emergency disaster services (EDS) recruitment needs and proactively implement recruitment strategies to address those gaps
  • Develop and revise volunteer role descriptions and identify skills, abilities and other qualifications required to fill volunteer role
  • Develop and implement general and targeted recruitment strategies to attract the volunteers needed to advance our programs
  • Lead full-cycle recruitment for a specific portfolio from start to finish of frontline, management, and specialist positions throughout the territory
  • Network with potential sources of candidates, advertising, screening, supporting the selection and onboarding of high caliber talent and supporting their integration into the organization
  • Act as brand ambassador for the organization to attract candidates
  • Build and maintains strong networks with internal and external stakeholders
  • Participate in relevant volunteer fairs, conferences, workshops, and learning opportunities
  • Assists the Emergency Disaster Services team with special projects as assigned
  • Contributes to the overall organizational culture by driving volunteer onboarding experience

Emergency Response/Recovery

  • Assists the EDS team with planning, organizing and directing the TSA EDS emergency response within the territory, as needed
  • Helps to coordinate the availability of adequate TSA personnel resources for an EDS response using the Incident Command System (ICS)

Human Resources

  • During territorial EDS activities, may direct and motivate EDS personnel under the incident command structure
  • Serves in a consultative role to divisional staff in the process recruiting EDS personnel
  • Maintains relationships with all relevant stakeholders, including government, vendors and partners
  • Create and facilitate recruitment workshops for volunteer managers and connecting them with resources to improve their recruiting skills

Administrative/Financial

  • In consultation with relevant stakeholders, develops and maintains territorial EDS documentation including policies, procedures, and standard forms
  • Participates in meetings and committees with Divisional Directors of EDS and other EDS personnel as required
  • Prepares and submits reports and statistics as required to THQ leadership and relevant stakeholders
  • Demonstrates diligent stewardship of resources

 Organizational Responsibilities

  • Assists the TMEDSTP with training sessions, as required
  • Develops and recommends policy related to EDS recruitment
  • Ensures TSA EDS recruitment practices and service delivery are consistent with policies and mission of The Salvation Army in Canada and Bermuda
  • Maintains and promotes a positive image of The Salvation Army by providing a high calibre of professional service and by being courteous, cooperative and helpful at all times
  • Supports The Salvation Army’s mission and demonstrates the Core Values
  • Takes responsibility for own ongoing professional development to remain current with emerging trends within the disaster and emergency management field

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Minimum of 2-3 years’ related progressive experience, working within Human Resources, talent acquisition, volunteer management or an equivalent combination of training, education, and experience
  • Completion of post-secondary education in disaster and emergency management or a related field, certification as a Certified Volunteer Resource Manager (CVRM) highly desired
  • Additional specializations in volunteer recruitment, project management, disaster and emergency management or a related field an asset
  • Membership in relevant local and provincial associations for volunteer resource management
  • Successful completion of key National Disaster Training Program courses (Introduction to Emergency Disaster Services, Fundamentals of Holistic Care, Disaster Food Service and Canteen Operations, Incident Command System) or ability to complete within 6 months.
  • First Aid/CPR certification

PREFERRED SKILLS/CAPABILITIES:

  • Must be deployable during a disaster incident to support emergency operations for a minimum of 14 days and work extended hours.  This may include operating in “hardship conditions” where basic amenities, such as power and water, may not be readily available.
  • Must be bilingual, English and French, proficiency in additional languages is an asset
  • Excellent oral, written, and interpersonal communication skills
  • Excellent crisis and conflict management skills are required
  • Demonstrated ability to quickly build strong, trust-based relationships with senior leaders and key stakeholders
  • Proven success in building and leading diverse, cross-functional teams focused on a common goal
  • Demonstrated teamwork and leadership skills
  • Demonstrated ability to work in stressful, high-paced environments
  • Strong organization and administrative skills
  • Proficient in Microsoft Office suite, including PowerPoint
  • Experience recruiting in the non-governmental agency field is an asset
  • Champion equitable and inclusive recruitment practices and process at The Salvation Army, implement the processes and communicate them with stakeholders
  • Demonstrated cross-cultural experience and/or knowledge of immigrant settlement and integration issues
  • Working knowledge of Salvation Army emergency social services primary services programs, EDS programs and Salvation Army Social Service programs is an asset
