        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

 
PREFERRED SKILLS/capabilities: 

Valid BC Driver’s License
Background check consent
A clear vulnerable sector screening
A clean drivers’ abstract
Completion of online Armatus Abuse Prevention Training and required Health and Safety training

Description

Operationalize the Ottawa Kettle Campaign work plan and provide overall supervision to the day-to-day operations of the campaign ensuring its annual objectives are met.  Focus will be placed on volunteer recruitment with the aim of maintaining a 40% volunteer rate.

 

KEY RESPONSIBILITIES:

  • Establish contact with venue management at multiple locations to confirm yearly placement of kettles at previously used locations and secure placement at new locations
  • Establish a donation processing team of 12 volunteers
  • Lead the recruitment and training process for the campaign supervisor, driver and kettle attendant positions
  • Establish and maintain, with the kettle support team, a volunteer centric approach to the campaign
  • Monitor and coach support team to ensure 100% fulfillment of kettle shifts
  • Source, establish and maintain ongoing contact with service, community and volunteer groups interested in supplying volunteers to the campaign.  This may include creating and delivering presentations
  • Follow up with supervisory team to make sure all timelines and tasks are being completed and met in a timely manner
  • Ensure all kettle location items (kettles, chairs, signs, etc.) are in good working condition and inventory levels are sufficient for duration of campaign
  • Ensure timelines for delivery, set up, take down and return of all kettles and items are met
  • Respond to any community concerns or complaints regarding kettle locations and workers
  • Ensure all required campaign documentation is completed in a timely manner.  This would include time cards, donation tracking and processing, hiring information and various databases
  • Ensure kettle results are distributed to appropriate stakeholders on a daily basis
  • At the conclusion of the campaign, compile statistical data as requested, compete detailed post mortem and provide information necessary for evaluation of the campaign
  • Ensure all policies and procedures are adhered to
  • Must be able to work December 24; flexible hours when needed, including evenings and Saturdays

WORKING CONDITIONS:

  • Typically an office setting however will be expected to operate within the community by visiting venues and potential volunteer groups
  • Average amount of keyboarding and sitting

 

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education/Certifications:

  • Previous experience and/or education in project management or campaign operation

Experience:

  • Minimum of 1-3 years of prior related experience in supervising large teams
  • Develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities

Required Skills/Knowledge:

  • Develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities
  • Understands team dynamics and how to motivate people
  • Attention to detail, problem solving and analytical skills

Successful candidate will be required to provide upon hiring:

  • A clear criminal record check dated within the last 30 days

  • Participate in our online Armatus Abuse Training and Health and Safety training required upon hiring, as well as updated annually

HOURS: 40 hours per week. Monday to Friday 8:00am – 4:30pm with alternating weekends and one evening per week. Must be able to work December 24; flexible hours when needed, including evenings and Saturdays
