        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

Description

The Regional Director of Programs provides oversight and support for the leadership teams in various ministry units across the Ontario Great Lakes Division. The incumbent provides strong leadership by directing and coordinating all program matters at the assigned ministry units. The Regional Director of Programs ensures programs and funding agreements meet various stakeholders’ expectations. They work with the Regional Executive Director to seek alternate funding sources, write funding proposals, and develop innovative service delivery models. The incumbent is responsible for the direct supervision of supervisory/managerial program staff at various locations.

This is a temporary full-time position based on 40 hours per week. Job flexibility is required as it relates to hours of work and work schedule. Some evenings and weekend work may be required. Normal location of work is within the Ontario Great Lakes Division including but not limited to: Halton, Hamilton, Dundas, and other communities within the ONGL division. Travel between various Ministry Units is required.

KEY RESPONSIBILITIES:

Program and Service Responsibilities

  • In the absence of the Regional Executive Director, provide oversight and leadership to the Regional Executive Team.
  • Oversee all aspects of the program operations in accordance with the mission and values of The Salvation Army Housing and Support Services.
  • Oversee and direct the planning, organization, and implementation of comprehensive case management systems.
  • Provide direction and support to Community Residential Facility (CRF) staff in screening CSC (Corrections) client cases.
  • Participate in regular case management meetings with key stakeholders and community partners.
  • Liaise with community resources in the relevant service areas and encourage community involvement in programs, partnerships, and program development.
  • In conjunction with the Regional Executive Director, represent the organization at community and funder forums to promote TSA services and increase TSA presence in the communities we serve.
  • Oversee and support social service staff in the planning, implementation, and continued direction of all program areas.
  • Demonstrate and model an understanding of the psychological and social dynamics of working with individuals who have diverse needs and interests.
  • Work with and support Program Managers and case management staff to ensure the diverse needs of clients are met; develop and monitor all programs to ensure measurable outcome effectiveness in line with funder and internal goals and expectations.
  • Receive and resolve serious client and community complaints in dialogue with Program Managers, Regional Executive Team, and Employee Relations as
  • Ensure that a spiritual dynamic is included in all programming.
  • In consultation with the Executive Director, ensure that the Housing and Support Services meet contractual, legal, and internal accreditation
  • Work with and support Program Managers to ensure all documentation and records are completed in an organized and timely manner, i.e., shift reports, intake, program evaluations, daily logs, the collection of data and incident reports, daily and monthly statistics and tracking staff hours and
  • Support Program Manager to make effective decisions based on occurrence reports in keeping with The Salvation Army’s policies and procedures, seeking input from Employee Relations as
  • Prepare and submit reports, proposals, grant applications and program evaluations as requested by internal or external sources; maintain confidentiality of all records and statistical
  • Review and evaluate program effectiveness by conducting audits of client goals, program outcomes, and overall program effectiveness at regularly appointed intervals and work with local program managers/supervisors to ensure revision of program plans and procedures as
  • Plan, develop and revise policies, protocols, and day-to-day operating policies for all program areas in compliance with government and The Salvation Army Standards including accreditation
  • In conjunction with the Regional Executive Director, facilitate merger meetings between the various program leadership teams and support the Executive team with exploring/implementing future
  • Work with the Regional Executive Director to effectively onboard new ministry units into the Regional
  • Work with Employee Relations on the development of new program staff positions and the regional organizational chart to support current and future
  • Work with Regional Executive Director to ensure the new regional program staffing model is missionally and financially
  • Facilitate staff meetings based on the change management process and prepare program staff for the regional model and future
  • Work with Executive Director and Program Managers to prepare for accreditation and other similar
  • Ensure that all staff are aware of emergency procedures and are prepared to implement them immediately as
  • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and
  • Ensure the proper procedures are followed in the event of a workplace injury or illness, conducting incident investigations as
  • Ensure steps in the Early and Safe Return to Work Program are followed as

Human Relations

  • Communicate regularly with the Employee Relations department regarding activities related to human resources and make suggestions that will improve efficiency, working conditions and procedures, including recruitment, on-boarding, and
  • Oversee hiring, orientating, training, evaluating, rewarding, disciplining, and terminating in consultation with the Regional Executive Director or designate and Employee Relations in compliance with Divisional and Territorial standards.
  • Ensure that employee files are up to date and stored in a secure
  • Responsible for completion and update of employee position descriptions and job duties in consultation with the Employee Relations department, for those
  • Conduct regular supervision with staff; ensure that performance reviews are completed, in a timely manner, for all
  • Complete payroll supervisory functions in UltiPro inclusive of approving vacation, sick time, timesheets, for those supervised.
  • Schedule and chair program staff meetings for all Ministry Units
  • Provide support and team leadership to staff and ensure that they work together to achieve the purposes of the
  • Ensure that all staff completes all mandatory training and certifications as required;   identify any training needs and report to the local Ministry Unit
  • Work with Program Managers to develop and implement frameworks and approaches that promote staff engagement and retention, ensuring that staff engagement starts with the on­ boarding/probationary
  • Perform other position related duties as required.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Completed a post-secondary University Degree in social work, corrections, or equivalent Master’s Degree preferred.
  • Non-Violent Crisis Intervention Certification and CPR/First Aid Certification would be an asset or willing to
  • Alternative combinations of education and experience may be considered.

 

EXPERIENCE AND KNOWLEDGE:

  • Minimum of five (5) years but less than seven (7) years of prior related experience, including experience in a residential setting, experience in supervision, leadership, coaching, and motivating staff and working with marginalized clientele.

SKILLS AND CAPABILITIES:

  • Strong interpersonal, time management and oral and written communication
  • Strong organizational skills with the ability to complete assignments and meet deadlines with minimal
  • Supervisory/management skills and the ability to lead coach and
  • Demonstrate a high level of integrity, good judgment, and ability to maintain appropriate confidentiality.
  • Attentive listening skills for the purpose of supervision, counseling, and conflict
  • Must have strong skills and experience using word processing (WORD); spread sheet use (EXCEL).
  • Valid Ontario Driver’s License, personal vehicle required and insurance, current copy of driver’s abstract that is satisfactory to The Salvation Army, in its sole discretion, is required.
