        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

The ARC Program Manager provides employee supervision and oversight within the Program Department to ensure staff and management have the resources available to better the lives of others. The incumbent will represent and apply the general philosophies and policies of the ARC to staff, clients, visitors, and other agencies, while assisting the ARC Director of Homelessness Services in the completion of assignments. The successful candidate will work to ensure that the ARC Program Department endlessly promotes the dignity and respect of the people we serve.

Program Participants of The Salvation Army ARC program are adult men who have experienced/are experiencing homelessness/addiction / mental illness. Experience working in this field is an asset.

This position reports to the ARC Director of Homelessness Services.

HOURS/SCHEDULE:

  • 5 Hours/week; Monday – Friday 8:00 AM to 4:30 PM

The use of a personal vehicle is not required in the performance of duties.

KEY RESPONSIBILITIES:

  1. Management Support
  • Report to and support the ARC Director of Homelessness Services through all operational areas of ARC.
  • Urgent situations arise that require the Program Manager to attend to the ARC without notice. It is imperative that the Program Manager be flexible and willing to meet urgent / emergency needs including last-minute shift coverage.
  • Create a safe, welcoming, and calming environment for everyone entering our facility. Stay observant of the environment and provide calming intervention as required to ensure the safety of everyone and policies are being respected.
  • The incumbent directly supervises up to 30 full-time and part-time employees.
  1. Staffing
  • Performs quality control of required documentation of all staff including caseworkers and A&D staff.
  • Oversees and documents training and orientation with new staff:
    • ARC mission and vision, goals, and objectives
    • All policies and procedures
    • Orientation packages
    • Confidentiality
    • First aid
    • NVCIT
    • Emergency Protocols
    • Relationship to A&D
    • Agencies contractual obligations
    • Security clearances
    • And any other training deemed mandatory/optional
  • Establish and implement annual staff training and development plan, ensuring all staff obtain ongoing training required to achieve, maintain, and strengthen the level of skills, abilities, and competencies essential to their assigned duties and responsibilities.
  • Conduct all staff evaluations with each staff member annually.
  • Assists ARC Director of Homelessness Services to hire, train, and recruit Personnel, volunteers, and Practicum Students.
    • Assist ARC Director of Homelessness Services review personnel requirements
    • Interviews potential staff, volunteers, and practicum students
    • In coordination with Human Relations Coordinator and Volunteer Coordinator, recruits staff and volunteers by attending and conducting information sessions/community engagement opportunities/presentations at Universities and Colleges, hiring fairs, and other recruitment events and opportunities.
  1. Supervision:
  • Directly supervise personnel and Human Resources work. Specifically, the Program Manager would be directly responsible for all ARC Support Workers.
  • Ability to set targets, analyze data easily, identify trends and take action to improve employee performance.
  • Maintain a professional yet compassionate relationship with staff and clients.
  • Attends functions and events bringing awareness to ARC services/programs and establishes necessary linkages: (career fairs; college/universities; staff recruiting drives, etc).
  • Performs quality control on reports to maintain contractual expectations and consistencies.
  • Collaborate with team/management in program evaluation and program development.
  • Ensures all safety and security policies and procedures are carried out consistently.
  1. Administrative/Other Duties:
  • budgeting, scheduling, statistics, payroll, and all other administrative tasks as required.
  • Track shelter, THP, and A&D Program pertinent data and maintain a variety of reporting requisites.
  • Seek out and apply for applicable grant and funding opportunities.
  • Completes statistical data/reports.
  • Facilitates staff training/development workshops on an as-needed basis.
  • May be assigned other related duties in any area of responsibility.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education and Experience:

  • BA in the human and social services field.
  • Equivalent experience in the community social services sector with working knowledge of community support agencies and resources will be considered.
  • Comprehensive knowledge of current social issues related to homelessness, mental illness, and drug addiction is essential.
  • Class 5 Drivers License.

 Skills and Abilities:

  • 2-5 years of demonstrated leadership / supervisory experience.
  • Experience working with marginalized populations is essential.
  • A clear understanding of Statistical Terms and Concepts.
  • Comprehensive knowledge in revising Program Policies and Procedures.
  • Skilled in problem-solving and demonstrated strong analytical abilities.
  • Strong leadership skills are able to foster a healthy, positive environment for employees/clients.
  • Demonstrated ability to work with challenging behaviors and stressful situations.
  • Demonstrated ability to apply safe work procedures.
  • Non-Violent Crisis Intervention training and First Aid Certification is an asset.
  • Naloxone training is an asset.
  • Ability to work independently.
  • Ability to communicate effectively with clients and co-workers both verbally and in writing.
  • Effective personal boundary-setting skills with both clients and co-workers.
  • Strong multi-tasking skills.
  • Excellent written and oral skills.
  • Strong interpersonal / people skills.
  • Proficient with Office Suite, especially Microsoft Excel, emails, Social Media, etc.

Work Environment:

The incumbent’s work environment is typically in an office or work site within residential and community settings: The incumbent will be exposed to the following conditions:
