We are looking for an Assistant Event Manager who is a self-starter and will support and work with the Events Division’s Operations Team to ensure the smooth coordination of our events portfolio. Responsibilities:
Coordination of In-Person and Virtual Events – Help plan and execute meal functions, room layouts, sleeping room bookings, networking activities, team travel coordination, etc. Virtual event vendors inclusive of platforms, speed networking, social networking activities and more.

Document Creation – Create stationary templates for speaker/client outreach, participant lists, update speaker/participant communication and invitations.

Sponsorship Liaison – Clear communication with sponsors and points of contact both pre-event as well as on-site/event day. Welcome communication and onboarding, communication throughout weeks leading up to event as well as coordination on-site/event day to ensure all deliverables are received and met.

Training and Education – Be an integral part of the team that trains and maintains education for the Operations team members. Come up and maintain manuals, training docs and ensure best practices are implemented across the board. Come up with new, inventive and time/cost cutting methods.

Custom Events – Research, manage and executive custom events for clients. Range from small dinner events to larger full day and multi day events for clients. Anticipate client needs and customize events while maintaining Frost & Sullivan best practices and standard operating procedures.

Briefing Sessions Management – Management of 1:1 meeting process between participants and solution providers. Implementation pre-event, on-site/event day and post-event. Management of processes and procedures for team as well as external clients.

Hotel Management – Main liaison with hotel venue/miscellaneous venues in pre-event planning of event, including but not limited to food & beverage selection, room set up needs, hotel sleeping blocks, coordination with outside vendors, shipping, etc. On-site management and liaison between event team and hotel staff.

Speaker & Participant Liaison – Clear communication with speakers and participants both pre-event as well as on-site/event day. Welcome communication and onboarding, communication throughout weeks leading up to event as well as coordination on-site/event day.

Website & Marketing Coordination – Ensure website is up to date quality control is done across all materials and registration system. Work with graphics team on weekly brochure & website edits as well as helping create event collateral.

Daily activities including – Tracking deadlines, pulling and creating reports for various teams weekly, monthly and ad hoc. Data entry, accounting, graphic edits to presentation material, gathering attendee information, special projects.

Involvement in shipping of material to events. Light lifting required, must have the ability to lift and move 20 lb. Boxes of literature and sponsorship/exhibit material.

Qualifications:
The ideal candidate will have 4-6 years minimum relevant experience.

Some travel required (4-7 weeks per year)
