        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

Reporting to the Detox Manager, the Detox Assistant Manager leads all administrative duties and supportive management duties in the Detox Center. The Assistant Manager supports the Detox Manager, and in his/her absence, assumes and fulfills the duties of the Manager.

HOURS OF WORK:

  • The normal workweek is Monday to Friday, 8:00 a.m. to 4:00 p.m.
  • The workday includes 7 ½ paid hours with a ½ hour unpaid lunch break.

KEY RESPONSIBILITIES:

  • Develops and supervises operating policy and procedure for program and operational requirements.
  • Identifies and pursues opportunities for community networking and program improvement.
  • Supervises the daily detox Supervisor; assists and supports the Supervisor by monitoring and managing staff.
  • Coordinates hiring, orientation, and training of new staff.
  • Acts as a liaison between staff and upper management
  • Manages issues between/amongst staff and/or clients, including providing coaching or discipline for staff.
  • Works with the Detox Manager and daily Supervisor to manage the daily operations, and structural and physical needs of the Detox Center.
  • Drafts and writes correspondence (e.g., letters/emails dealing with administrative issues, dictation, acknowledgments etc.); checks typing for accuracy; researches and responds to difficult inquiries on behalf of the Manager.
  • Performs general office duties such as answers and screens telephone calls, greets and escorts visitors, files documents electronically or manually, photocopies and distributes materials as requested, sends and receives fax/email material as requested.
  • Handles and ensures the protection of extremely confidential and sensitive employee, client and or program files.
  • Drafts and prepares presentations, brochures, fliers, advertisements, invitations, and certificates subject to supervisory approval.
  • Schedules meetings, prepares agenda, types and circulates minutes accordingly
  • Opens and distributes incoming mail and parcel(s) and processes outgoing mail including materials of a confidential nature accordingly.
  • Plans and prepares the Detox Worker 1 and 2 schedules. Maintain daily staff levels on the unit. (filling shifts as needed).
  • Becomes familiar with the collective agreement for Harbour Light Detox and ensures that the clauses are properly implemented and followed.
  • Is responsible for processing and accuracy of payroll for the Detox team members in UltiPro and responds to queries from accounts/payroll/HR members as and when needed.
  • Reviews vacations requests, sick time, Lieu days and presents to Detox Manager for approval.
  • Reviews timesheets, keeping track of absences, vacations, lieu days, leave of absences, etc.
  • In conjunction with the Human Relations Advisor and Detox Manager, follows up with incidents, prepares a report and coordinate for WCB reports and claims as needed.
  • Ensures that staff and clients are aware of the spiritual resources, including spiritual reflections, chaplaincy services, Sunday worship, etc., and that clients are assisted by staff in accessing Chaplaincy services.
  • Coordinates team building and training for Detox staff.
  • Provides assistance to Detox Manager in matters related to Unions and acts as liaison with the shop steward as needed.
  • Makes decisions on routine and urgent administrative matters in the absence of the Manager.
  • Assumes the role of Acting Manager for the department in the absence of the Detox Manager.
  • Reviews CAMs staff notes and works closely with CAMs management team regarding any changes needed on CAMs.
  • Performs other duties as assigned.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

General:

  • Willingness to adhere to the Mission and Values of the Salvation Army and Vancouver Harbour Light
  • Willingness to work in a drug and alcohol-free environment with a zero-tolerance policy; must have a minimum of 5 years clean time (sobriety) if in recovery from alcohol or drug use.

Education/Certifications:

  • The successful job applicant will have completed a minimum of two years of college or an undergraduate university degree or have an equivalent combination of education and practical experience in social services background.

Have or be willing to acquire the following certificates:

  • Current Certification in First Aid/CPR
  • Non-Violent Crisis Intervention
  • Mental Health First Aid
  • Motivational Interviewing

Experience:

  • At least 2 years of related experience, addictions counseling, supervision of staff in a union environment, budgeting, and working with marginalized clientele in a residential setting. Additionally, experience in dealing with administrative matters.

Required Skills/Knowledge:

  • Intermediate to advanced skills in Microsoft Word, Excel, and Outlook
  • The performance of the job requires continuously monitoring the environment and multitasking, good attention when reading, close listening, and occasionally working with numbers.
  • Good verbal and written communication skills, effective listening skills, and organizational skills.
  • A positive attitude towards the homeless and individuals with substance use and concurrent disorders and a good understanding of the challenges they face.
  • Ability to work independently.
  • Detail-oriented with a high level of accuracy and document creation
  • Ability to prioritize and manage multiple tasks and a variety of demands in a fast-paced environment.
  • Flexible, self-motivated, adaptable

Successful candidates, prior to hiring, may be required to provide:

  • A valid Class 5 (or higher) BC Driver’s License and a clean driver’s abstract
  • Criminal Records Review Program clearance (or willing to get this done)
  • Completion of our online Armatus Abuse Training and privacy training
