        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

 
PREFERRED SKILLS/capabilities: 

Valid BC Driver’s License
Background check consent
A clear vulnerable sector screening
A clean drivers’ abstract
Completion of online Armatus Abuse Prevention Training and required Health and Safety training

Description

Under the direct supervision of Department Managers, the Scheduler is responsible for scheduling/coordinating the facility’s staff to ensure complete 24 hour coverage, while following all staffing guidelines set forth in the respective collective agreements. The scheduler assists with updating, monitoring, tracking and reporting relevant employee information. Covers reception, and supports the administrative needs of the Employee relations and Department Heads at Grace Manor, as directed.

KEY RESPONSIBILITIES:

  • Schedules daily facility staff, resolves scheduling conflicts and ensure accurate coverages for all shifts, as per collective agreements. Updates and corrects schedule daily. Ensuring accurate entry of sick, vacation and stat time. Prints and posts schedule in hallway
  • Processes and files time off requests, tracks and records absenteeism accurately. Audits In and out swipes of employees to ensure they match the schedule. Informs department managers of any issues. Informs managers of any staffing needs/shortages as required
  • Schedule within budgetary guidelines and seek managerial approval for overtime. Manage and update employee availability records
  • Updates employee call lists, program swipes and key fobs as required. Maintains database of access information.
  • Ensures that all timekeeping data for payroll is processed in compliance with the collective agreements. Prepares and processes bi-weekly payroll data extraction by ensuring timesheets and approvals are obtained within payroll deadlines
  • Sets up and assists new hires by providing assistance and education for Ultipro system
  • Serves as first point of contact to correct all payroll discrepancies/ Pay related staff inquiries (prints pay stubs, answers staff inquiries regarding stat banks, PTO etc.)

 

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education/Certifications:

  • Community college certificate in medical terminology or equivalent considered an asset

Experience:

  • Minimum two years of experience scheduling in a healthcare setting (24/7)
  • Demonstrated familiarity with Ulti Pro software considered an asset
  • Experience in a unionized environment following collective agreements

Required Skills/Knowledge:

  • Professional demeanor with excellent customer service, strong leadership and communication skills
  • Honest, reliable and tactful with superior attention to detail
  • Computer proficiency, MS office applications (Word, Excel etc.)

Successful candidate will be required to provide upon hiring:

  • A clear vulnerable sector screening
  • Participate in our online Armatus Abuse Training and Health and Safety training required upon hiring, as well as updated annually

HOURS:  40 hours per week. Monday to Friday 8:00am -4:30pm (flexible business hours) may be required to work the occasional weekend
