        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

The Support Services Coordinator is responsible for the supervision of Janitors and the overall day to day cleanliness and maintenance of all The Salvation Army facilities under the H.H.B Housing and Support Services.

KEY RESPONSIBILITIES:

Supervision of Support Staff

  • Develops and maintains the daily, weekly, and monthly checklists for Support Staff.
  • Maintains maintenance, kitchen and housekeeping logs, coordinates scheduled janitorial, maintenance and kitchen procedures; ensures janitorial, kitchen and maintenance guidelines are in compliance with warranties and contracts.
  • Supervises and schedules kitchen, janitorial and maintenance staff for the completion of building cleaning, feeding of clients and maintenance requirements.
  • Participates in recruitment, orientation, training, performance review and discipline of staff in consultation with the Director of Environmental Services and HR.
  • Ensures mandatory training and e-learnings are completed within the set time frame and constantly reviews the skills and competencies of staff to adequately meet the requirements of the job.
  • Monitors employee sick time and workers compensation utilizations to ensure effective use of resources.
  • Performs and approves staff scheduling and timecards ensuring that appropriate and adequate coverage is always maintained.
  • Provides skill development and personal coaching to janitorial, kitchen and maintenance staff.
  • Coordinates, prepares, and facilitates staff meetings.
  • Assists with the development, updating and evaluation of agency policy and procedures and ensures staff compliance with policy and procedures.

Health and Safety

  • Ensures daily vehicle inspection/safety logs and mileage logbooks are being properly kept.
  • Reviews relevant vehicle policies and procedures with drivers.
  • Trains drivers in the daily use of vehicle inspection/safety logs and mileage logbooks.
  • Schedules servicing and regular maintenance of equipment according to manufacturer’s recommendations.
  • Ensures that the upkeep and maintenance of Security and Fire Systems are maintained as necessary.
  • Rotating Maintenance on-call with Director of Environmental Services for dealing with after-hour & emergency situations.
  • Responsible to work in compliance with the Ontario Health & Safety Acts and Regulations.
  • Participate in all Health & Safety related accidents and injury investigations.
  • Ensure that staff are aware of emergency procedures and are prepared to implement them immediately as necessary.

Maintenance of inventory & supplies

  • Receives and fills weekly supply orders from janitorial, kitchen and maintenance departments.
  • Ensures housekeeping, kitchen and maintenance supplies are received, stored, and redistributed to the appropriate departments.
  • Maintains an inventory of supplies from various sources.
  • As assigned by Director of Environmental Services, assists in researching, costing, recommending, or purchasing furnishings & equipment.
  • Assists Director of Environmental Services in overall safety in all facilities.
  • Perform other duties as required.

MANAGERIAL/Technical RESPONSIBILITY:

  • This role reports directly to the Director of Environmental Services.
  • This role will have employees as direct reports including maintenance workers, kitchen staff, and housekeepers.

WORKING CONDITIONS:

  • Schedule may vary according to requirements of responsibilities – some weekend and evening work may be required.
  • Ability to lift/move up to 20 lbs.
  • Travel required between the individual units (5 shelters/ buildings).

 

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Completion of a post-secondary college certificate program in a discipline related to facility operation and building maintenance or an equivalent combination of technical training and experience in building maintenance work.
  • Non-Violent Crisis Intervention Certification and CPR/First Aid Certification would be an asset or willing to obtain.
  • Alternative combinations of education and experience may be considered.

EXPERIENCE AND KNOWLEDGE:

  • Minimum two (2) years of prior related experience in general repairs and culinary procedures (i.e. electrical & plumbing), building systems, fire safety, water treatment and electrical systems, including experience in a residential setting.
  • Experience in supervision, leadership, coaching, and motivating staff.
  • Proficient in Microsoft Office.

  • Valid Ontario Class “G” driver’s license, own vehicle and insurance; a current driver abstract that is satisfactory to The Salvation Army, in its sole discretion, is required.
  • Ability to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check with vulnerable sector screening.
  • Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
