As this role is funded through Canada Summer Jobs,

To be eligible, youth must:

  • be between 15 and 30 years of age at the start of the employment*;

Job Synopsis This 35 hour a week/12 week position will support the Human Resource department in the updating and archiving of volunteer and employee files.

Reporting to the Volunteer Services Manager, this position is part of a 5-person HR team that supports 135 staff and approximately 3000 volunteers across Ontario. Movement to computerized data management requires a detail oriented, self-directed individual to ensure the accuracy of active volunteer information and proper archiving of inactive files. This position will oversee the integration of paper based collection systems into the volunteer database Volgistics. As time permits this role may also assist with employee file management.

Challenges

Key Responsibilities Data Management

  • Perform a variety of administrative activities to ensure accuracy of documentation and data quality for volunteer records in Volgistics. This includes document retrieval, imaging, tracking, indexing, quality assurance and governance in line with MCC Ontario Human Resource standards
  • Implement data quality guidelines for all data to ensure accuracy of documentation
  • Provide effective and efficient movement of information from physical to electronic records
  • Input data into computerized databases, spreadsheets or other templates.
  • Verify accuracy and completeness of data.
  • Produce program and shop specific reports detailing data collection needs.
  • Label, prepare and transfer information files according to established records management life-cycle procedures and schedules.
  • Create access lists for security classified and archived records
  • Compile statistics and reports on activities within records management services and provide recommendations of next steps
