The Special Events Coordinator will work with the Digital Marketing and Project Manager and Special Events, Initiatives and Marketing Specialist to support The Salvation Army’s territorial headquarters/national events through event coordination, budgeting, sourcing and all other event-related duties, under the direction of the Territorial Director of Marketing and Communications.
KEY RESPONSIBILITIES:
Special Events:
- Provide administration, planning, coordination and all other-related duties to the Special Events, Initiatives and Marketing Specialist (SEIMS)
- Assist the SEIMS with catering arrangements and event/facility booking
- Assist the SEIMS in sourcing, managing vendors and creating timelines and detail-oriented plans
- Under the supervision of the SEIMS, the Special Events Coordinator will prepare and coordinate technical and logistical aspects of events
- In coordination with the SEIMS, set up, tear down and clean up for events
- Assist SEMIS with drafting event communication plans and critical paths
- Implement ideas to boost event attendance and fundraising efforts
- Provide logistical support as needed for divisional special events
- Be an active member of Congress and Commissioning, program services, and other Salvation Army conferences as required
- Be on site for all events and assist SEIMS in creating event briefs and briefing volunteers and necessary staff
- Develop a list of business contacts for events/data management
- Assist with the development and fulfillment of event budgets
Santa Shuffle Assistant
- Assist the National Race Director (NRD) and SEIMS in the day-to-day operations of the Santa Shuffle
- Respond to any internal or external inquires about the Santa Shuffle
- Attend bi-weekly Running Room meetings with the NRD and SEIMS and provide event updates
- Assist SEIMS as the point-of-contact for local race directors
- Help reconcile financial reports post-run
- Assist with sourcing and ordering promotional items for the Santa Shuffle
Other Responsibilities:
- Write post-event summaries for the Manager of Communications
- Liaison with THQ Departments for departmental special event coordination
- Provide administrative support that includes but not limited to, submitting insurance/permit requests and responding to event-related inquires
QUALIFICATIONS AND EDUCATION REQUIREMENTS:
Education, Qualifications and Certifications:
- Completion of a formal post-secondary /college dip prog of 2 to 3 academic years
- Valid Ontario Class “G” Driver’s License with an acceptable Driver’s abstract is an asset
Experience and Skilled Knowledge Requirements
- Minimum 2 years but less than 3 years experience in special event planning or related work experience
- Knowledge and experience in attracting funds or sponsorships
- Photography skills/background considered an asset
- Ability to exercise good judgment and tact
- Work as part of a team and independently
- Ability to manage details with accuracy and multi-task to quickly transition from one task to another
- Financial skills and experience in preparing and managing a budget
