        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

This is a permanent full-time position.  Schedule may vary according to requirements of responsibilities – some weekend and evening work will be required.  Travel may be required.

Normal location of work is at 86 Robinson Street, Simcoe, ON

 

This position is considered a management position for the purposes of the Employment Standards Act of Ontario and as such is not covered by various ESA rules, including but not limited to those related to hours of work, daily and weekly rest periods and overtime compensation.  Salary is based on average minimum 32 hours per week. Hours worked are compensated through the annual salary amount.

KEY RESPONSIBILITIES:

The Thrift Store Manager is responsible for overseeing the operation of the Simcoe Thrift Store to ensure consistent profitability of the store by implementing national and regional standards in sales, customer service, merchandising, marketing, public relations, store staff training, reclamation, and product donation flow, and the processing of instore donations.

 

Accountabilities:

  1. Operations
  • Assist the Corps Officer in executing store operations.
  • Determine and maintain appropriate stock levels.
  • Determine and submit requests regarding in-store operational needs and supplies as necessary.
  • Supervise as well as participate in sorting and tagging merchandise, unloading donations, stocking shelves and performing cash transactions.
  • Responsible for assisting and supervising a team of employees and volunteers to ensure standards in sales, meeting sales target, customer service, merchandising, marketing, and public relations are achieved.
  • In consultation with the Corps Officer develop/plan the store layout to attract customers, including merchandise displays, decide on in-store promotions and auctions and advising of any recommendations for new racks, shelving and signage.
  • Serve the customers in a courteous and efficient manner by listening to and addressing customer concerns, suggestions and complaints and discussing with the Corps Officer as needed.
  • Ensure accuracy in the completion of all customer transactions.
  • Prepare sales summaries when required; contribute to meeting store budgets by maintaining customer service standards.
  • Ensure that banking is completed on a daily basis as per store policy.
  • Work with Corps Officer to attain financial goals; monitor cost of goods; ensure that policies and procedures are adhered to regarding cash handling.
  • Inventory control: retrieve, sort, price and discard or recycle any stale or un-saleable items on an ongoing basis; seek to protect the store from inventory shrinkage by close visual monitoring.
  • Oversee and participate in ensuring the maintenance and cleanliness of the store is up to standard policy including practicing “Tidy Maintenance.”
  • Communicate any maintenance issues in a timely manner to supervisor.

 

  1. Human Resources
  • May participate in the recruitment of staff and volunteers in consultation with the Corps Officer.
  • Participate in the regular supervision of staff and volunteers; assist in the completion of regular performance evaluations and appraisals with the Corps Officer.
  • Will complete payroll supervisory functions in UltiPro inclusive of approving vacation, sick time, timesheets, etc. for staff; respond to inquiries from staff regarding payroll matters.
  • Conduct appropriate ongoing staff and volunteer training for all aspects of merchandise handling including receiving, sorting, stocking and check out – as well as all aspects of customer service.
  • Monitor employee, volunteer’s performance, and report any concerns/questions to the Corps Officer.
  • In consultation with the Corps Officer prepare employee/volunteer work schedules; plan coverage for vacation/sick days.
  • Provide corrective feedback to improve employee and volunteer performance; positive feedback (reinforcement) to recognize good performance.

 

  1. Health and Safety
    • Monitor staff safety practices in compliance with health and safety standards, and prepare, submit and act on incident reports; provide calming intervention as required ensuring the safety of everyone.
  • Assist in the orientation of new employees and volunteers regarding health and safety procedures, Ministry Unit Store Policies/Promotions, etc.
  • Responsible to report any serious health and safety infractions or problems in accordance with policies to the Corps Officer.
  • Responsible to ensure that employees and volunteers comply with all safety procedures and by monitoring Health and Safety policies and procedures.
  • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures.

 

MANAGERIAL/Technical Leadership RESPONSIBILITY:

  • This position reports directly to the Corps Officer or designate.
  • Required to supervise 3 FT and 3 PT direct reports in the Thrift Store.
  • Responsible as a group/work leader.

 

FINANCIAL AND MATERIALS MANAGEMENT:

  • Assist with the materials management of donations/product flow in the thrift store.
  • Ensure that policies and procedures are adhered to regarding cash handling etc.
  • Oversee the cash and debit sales, ensure that bank deposits balance and are deposited daily as per store and TSA policy; the float is secured for the next day.

 

WORKING CONDITIONS:

  • This is a permanent full-time position based on 32
  • Flexibility in scheduling is required
  • Work schedule will vary from week to week and will include weekdays and/or Saturdays as per the Thrift Store hours of operation.
  • Required to stand for long periods with frequent twisting, bending, crouching and reaching is required.
  • Ability to lift/move up to 25 pounds on a regular basis.

 

Normal hours of work: The hours of work and shifts will be determined in consultation with the supervisor as per operational requirements of the Thrift Store.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education, Qualifications and Certifications:

  • Completion of High School
  • Alternative level of education and experience may be acceptable.

 

Experience and Skilled Knowledge Requirements:

  • Have a minimum of one (1) year of prior related experience, including retail and supervisory experience.
  • Cash handling experience is required.
  • Experience with cash registers and related processes and procedures i.e. bank deposits, summary reports, etc.
  • Basic math skills are required to calculate discounts and percentages.
  • Product brand awareness would be an asset.
  • Experience working in a computerized environment.

  • Provide an original copy of a Background Check with vulnerable sector screening that is satisfactory to The Salvation Army, in its sole discretion, is required. The screening is secured either through the national Canadian Police Information Centre (CPIC) or through a local police detachment,
