        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

 
PREFERRED SKILLS/capabilities: 

Valid BC Driver’s License
Background check consent
A clear vulnerable sector screening
A clean drivers’ abstract
Completion of online Armatus Abuse Prevention Training and required Health and Safety training

Description

To provide administrative support to Corps Officers ensure efficient operation of the Ministry Unit.

Hours:

  • 30 Hours per week

 

KEY RESPONSIBILITIES:

  • Drafts and types of correspondence (e.g. Letters dealing with administrative issues, dictation, acknowledgements); checks typing for accuracy, sorts and prioritizes typing assignments within general guidelines
  • Performs general office duties such as answers and screens telephone calls and directs enquires and answers inquires; greets and escorts visitors; files documents electronically or manually; photocopies and distributes materials as requested; and sends and receives fax/email material as requested; resolves routine inquiries
  • Builds and maintains databases (e.g., Employee/volunteer information, contact lists, inventory, hours worked, Stats; etc.);
  • Drafts and prepares presentations, brochures, fliers, advertisements, invitations and certificates subject to supervisory approval (e.g., Power point presentations)
  • Schedules meetings, prepares agenda, and takes minutes; types and circulates minutes
  • Opens and distributes in-coming mail; receives parcel(s) and distributes to the appropriate person(s)
  • May order all stationery supplies and maintains adequate office supplies and other supplies as needed (e.g. Kitchen or lunchroom supplies); may maintain postage meter supply; may arrange for maintenance of office equipment
  • Prepares and receives all paperwork for various projects and processes (e.g. Community service orders, ministry unit annual reviews)
  • Assists in the process of weekly deposits. Could include money counting, preparing deposit summaries, tracking congregation deposits and preparing tax receipts.
  • Assist with organizing of Christmas programs (i.e. hamper/toy distribution, Christmas kettles, etc.)
  • Performs other duties as assigned

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Completed high school and minimum of one year of specialized courses in the field of admin work, human services and business administration.

Experience:

  • One (1) year prior related experience in administrative duties including knowledge of office equipment.

Required Skills/Knowledge:

  • Excellent organizational skills
  • Experience in office and administration/office equipment-computer, copier/fax machine
  • Proven proficient use of internet based software, Microsoft Office, Excel, online search engines, etc.
  • Proven active and compassionate listening skills
  • Proven problem solving and conflict management training/skills
  • Excellent communication and interpersonal skills
  • Obtain clearance from RCMP Enhanced Criminal Record check and clearance from The Salvation Army’s Internal Abuse registry
  • Ability to multi-task and work well in a fast-paced environment
  • Support for and an understanding of the mission and the purpose of The Salvation Army
  • Flexibility in scheduling is required for November-December
