        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others

Description

The Community and Family Services Manager provides leadership and support to several community-based programs in accordance with Salvation Army mission, values, and standards.  The incumbent works with other Agencies and the Whitby Community Church ministry unit to produce and promote opportunities for Church members and volunteers to get involved with supporting families. This role will also have the added responsibility of assisting with the coordination of Christmas Programing which will include Kettles.  The incumbent also ensures that resources of the department are being used to their greatest potential in the implementation of The Salvation Army’s mission

 

KEY RESPONSIBILITIES:

  • Ensure the ministry objectives are consistently accomplished; refer clients to the Community Ministries Officer for pastoral care assistance when appropriate.
  • Ensure that all duties are completed in accordance with the principles, standards, policies, and procedures of The Salvation Army.
  • Assist with all local fundraising initiatives and pursue additional fundraising opportunities.
  • Oversee the day-to-day operations of the Community and Family Services office.
  • Work with the Corps Officer/Ministry Unit Lead to ensure that programs (including program reviews, inspections, and audits) meet contractual, legal, and internal requirements.
  • Serve as a resource person to the Corps Officer/Ministry Unit Lead in matters of community Relations and media as related to Community & Family Services.
  • Ensure compliance with policies and procedures as it relates to external funders.
  • Assess community need and review client feedback to determine potential alternate programming and develop a strategy for the implementation of such programs.
  • In consultation with the Corps Officer, assist with the development and implementation of policies and procedures and that those programs meet contractual, and legal, requirements.
  • Ensure consistent communication by participating in regular meetings, conference calls and ZOOM Meetings with the Ministry Unit Team and Divisional Personnel.
  • Attend and participate in trainings and meetings as required by the Ministry Unit, Divisional and Territorial Headquarters.

Program

  • Lead the process of intake services, client assessment, and emergency assistance for clients, food and or Thrift Store vouchers as per guidelines; conduct client intake interviews when required.
  • Coordinate/Organize/Oversee/Develop annual, special outreach and seasonal community services programs and events such as, but not limited to: Food Bank, Breakfast program, Christmas Assistance, Christmas Kettle Campaign, Christmas Toy and Hamper program, Summer Camps, other community outreach programs i.e., Red Cap, Life Skills Classes, Youth Initiatives, English and a Second Language Classes, Budgeting Classes, Tax Preparation, etc., as determined within the Community Ministries Profile, either virtual or in-person.
  • Assist in the coordination of United Way Support i.e., Funding Proposals, Reporting under the direction of the Community Services Officer/Ministry Unit Lead.
  • Network and refer to The Salvation Army, government, and community social service providers to coordinate resources for the benefit of clients and programs when necessary.
  • Assist the Corps Officer/Ministry Unit Lead with ongoing strategic planning to ensure programming reflects client need as these may evolve within the ever-changing socioeconomic climate.
  • Gives oversight to the Pathway of Hope Program and maintaining an active caseload of participants in the Pathway of Hope Program.
  • Responsible for making sure any concerns with maintenance and general cleanliness of the Workplace are forwarded to the Community Services Officer.
  • Work with CFS staff and volunteers to ensure that there is enough food available to meet the needs of clients that require support.
  • Actively promote the Whitby Community Church and Community and Family Services programs within the community.
  • Support and assist with Emergency Disaster Response and Emergency Disaster Services (EDS) training of volunteers and staff.

Human Resources

  • Hire, orientate, train, reward, discipline in consultation with the Community Ministries Officer/Corps Officer ensuring compliance with and Territorial/National Standards, and the Ontario Division Human Relations Department.
  • Provide ongoing, consistent coaching, performance feedback, and manage the evaluation (including probationary evaluations) of all community ministries employees ensuring that they work together to achieve the purpose of the organization and enhance the ministries of The Salvation Army.
  • Responsible to ensure that each position for those supervised has a clearly defined and up-to-date job description and job duties, outlining that employee’s authority and responsibilities, in consultation with Ontario Division Human Relations Department and Community Ministries Officer/Corps Officer.
  • Prepare, post, and maintain all departmental work schedules for those supervised in accordance with operational requirements ensuring adequate coverage.
  • Ensure that all department related job postings are prepared and forwarded to DHQ Human Relations for review and posting.
  • Identify training requirements, make recommendations, and develop strategies and recommendations for employee and volunteer development.
  • Payroll processing in UltiPro as necessary.
  • Provide direction and support to volunteers and ensure that they work to achieve the purposes of The Salvation Army.
  • Develop strategies and recommendations for staff and volunteer development.
  • Responsible for preparing a volunteer work schedule.
  • Ensure that all employees and volunteers maintain any mandatory training or certification; identify and training needs and report to the Community Ministries Officer.

Health and Safety

  • Ensure safety of employees, volunteers, and clients, i.e., clear fire exits, no obstacles inside/outside office, clean spillage; ensure that the property is always secured.
  • Responsible to maintain a level of competency and understand Sections 25 and 26 of the Occupational Health and Safety Act (OHSA).
  • Ensure that the measures and procedures prescribed (OH&SA) are carried out in the workplace and that every reasonable precaution is taken for the protection of the worker and workplace.
  • Provide oversight of WSIB claims and other health and safety matters in Community and Family Services and ensure that proper procedures are followed in the event of a workplace injury or illness; supervision of the Early and Safe Return to Work Program.
  • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures.

Administration and Finance

  • Prepare and submit reports, proposals, program evaluations, and/or business plans as requested to the Community Ministries Officer/Corps Officer.
  • Maintain accurate confidential written records, logs of activities, including activity reports and statistical information, and client data in Link2Feed.
  • Prepare, analyze, submit, and act on incident reports; maintain records of all reports and dealing with complaints effectively and in a timely manner.
  • May prepare and submit grant/funding applications; complete timely, accurate reports as required.
  • Receive, record, secure monetary and non-monetary donations following TSA Finance guidelines; ensure information is forwarded to the bookkeeper for the issuing of donation receipts for income tax purposes.
  • Provide input in the development and implementation of policies and procedures for Community and Family Services programs.

Perform other duties as required.

 

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education/Certifications:

  • Completed an Undergraduate University Degree, preferable in Human (Social) Services field.
  • Alternative combinations of education and experience may be considered.
  • Proof of valid Safe Food Handlers Certification, Non-violent Crisis Intervention, and Mental Health First Aid or willingness to complete such.

Experience:

  • Minimum of three (3) years of prior related experience, including, experience in specialized social services program budget controls, managing people, managing resources, and communicating orally and in corresponding with community partners

Required Skills/Knowledge:

  • Excellent organizational, planning, communication, and time management skills.
  • Supervisor/management skills and the ability to lead, coach and motivate employees and volunteers.
  • Experience working with a diverse population, including mental health and addictions.
  • Knowledge of community-based resources and experience networking with government and social service agencies.
  • Proficiency in Microsoft Office products is required, Word and Excel etc.
  • Proficient in Digital Communications i.e., social media, ZOOM, Overall Computer Skills.
  • Ability to deal effectively with the public, government, business leaders and professionals.
  • Attention to detail, problem solving and analytical skills.
  • Strong sense of integrity and confidentiality with professional ethics and a balanced sense of fairness and flexibility.

HOURS:  40 hours per week. Schedule may vary according to requirements of responsibilities – some weekend and evening work may be required
