        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

 
PREFERRED SKILLS/capabilities: 

Valid BC Driver’s License
Background check consent
A clear vulnerable sector screening
A clean drivers’ abstract
Completion of online Armatus Abuse Prevention Training and required Health and Safety training

Description

To plan, coordinate, and evaluate Correctional and Justice Service programs ensuring all components meet the rehabilitation targets set for the clients while working within guidelines set by funders.

KEY RESPONSIBILITIES:

PROGRAM DEVELOPMENT, DELIVERY AND REVIEW

  • Determines caseload for direct reports as well as maintaining small caseload for own position;
  • Maintains secure record keeping and retrieval system pertaining to clients and placement agencies in compliance with applicable government and Salvation Army policies and procedures; complete all required documentation in the prescribed timelines; provides reports to government and Salvation Army departments;
  • Participates in the development of policy and procedures to improve program efficiency;
  • Develops, proposes and implement new services for clients as necessary;
  • Ongoing evaluation of the effective delivery of services to ensure program meets funders requirements;
  • Review and develop annual goals and objectives in consultation with the team

COMMUNITY LIAISON

  • Regularly attend meetings with funders and/or partners to provide updates regarding program effectiveness;
  • Develop and maintain favorable working relationships with community placement agencies to and enhance delivery of service;
  • Liaises with other social services agencies in a manner that will facilitate a referral of potential clients to the appropriate program or agency

HUMAN RESOURCES

  • Act as a team leader providing direct supervision to program staff and contractors ensuring proper completion of client intakes, appropriate client placement and discharge; assessment of client needs, offering of referrals to other Salvation Army programs and/ or community services when necessary; ensuring client files are maintained to legal requirements; ensuring all contractual timelines and agreements are met; ensuring compliance with all legal status and mandates;
  • In consultation with the Director of Community Services and/or Director of Employee Relations hires, orientates, trains, evaluates and recommends discipline, when necessary of staff
  • Facilitates regular staff meetings

ADMINSTRATION

  • Maintain a system of recording and reporting on departmental activities, as well as provide monthly statistics for the department
  • Ensures all financial functions performed as per policy and procedures

FINANCIAL AND MATERIALS MANAGEMENT:

  • Provides input into the operational and staffing budgets for Correction and Justice Services
  • Prepares and provides to Accounting financial/statistical information for funders

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education/Certifications:

  • Completed post-Secondary Degree/Diploma in Correctional/Social Services field

Experience:

  • 1-3 years supervisory and program development experience preferably in the Corrections or Justice field
  • 1-3 years’ experience case management experience and working with correctional clients

Required Skills/Knowledge:

  • Strong knowledge of the Pre-Charge and Community Service Order correctional programs
  • Proficient computer skills using Word, Excel and other office software
  • Excellent oral and written communication skills
  • Strong interpersonal and leadership skills
  • Able to build and strengthen relationships with the community
  • Strong administrative and organizational skills
  • Strong sense of integrity and confidentiality with professional ethics and a balanced sense of fairness and flexibility
  • Strong understanding of professional boundaries when working with a vulnerable population
  • Ability to coach and provide constructive feedback;
  • Ability to problem solve and make independent decisions within established framework while understanding the impact decisions will have on programming as well as programs around them

 

PREFERRED SKILLS/CAPABILITIES:

  • Bilingualism (English and French) an asset

Successful candidate will be required to provide upon hiring:

  • A clear vulnerable sector screening
  • Participate in our online Armatus Abuse Training and Health and Safety training required upon hiring, as well as updated annually

HOURS: 40 hours per week. Monday to Friday 8:00am – 4:30pm
