Admissions Administrator

Position Summary:
Reporting to the Director of Admissions and Recruitment, is responsible for making admission decisions on assigned undergraduate and graduate applications. Directs queries pertaining to scholarship and student aid. Participates in student recruitment activities, job fairs, high school visits, and open house. Provides daily organizational and operational support to the Director and the Unit.

Primary Responsibilities:
Provide administrative support to the Director of Admissions and Recruitment, including managing the Director’s agenda; booking travel; scheduling, attending and taking notes at meetings; compiling, completing, and submitting expense reports; monitoring staff vacations; drafting and preparing correspondence in English and French as well as drafting and proofreading texts.

Screen calls, enquiries and requests, and deal with them when appropriate.

Prepare status reports on applications for Director to respond to inquiries from senior University administration (Deans, VPs and Principal’s Office).

Handle highly sensitive and confidential inquiries and conversations with extreme discretion.

Communicate accurately and tactfully with prospective students, applicants, parents, guidance counsellors, and other stakeholders regarding admission standards, application procedures, and other inquiries.

Provide team-building support to admission and recruitment staff in the Unit.

For the application review process, make decisions to offer (or deny) admission to applicants in CEGEP and high schools, according to predetermined guidelines and procedures. Comply with directives from senior staff and/or Director on file review. Be prepared to intensify efforts to get job done during peak periods. Be attentive to current enrolment limitations for programs in high demand and challenges faced by undersubscribed programs.

Maintain record of weekly admission decision numbers to maintain consistent work pace. Consider multiple sources of information and consult reference sources) to determine admission eligibility. Follow up on missing documentation. Consult with senior staff on complex applications and/or those including a claim of extenuating circumstances.

Determine eligibility for Entrance Scholarships for further consideration by the Scholarships and Student Aid Office.

Compare official final grades with unofficial interim grades to detect any major unexplained changes in academic performance, failure to complete and/or evidence of fraud.

Participate in student recruitment activities as needed, including CEGEPs, high school visits and Open House.

Coordinate receipt and response to Requests for Reconsideration payments.

Foster effective working relationships, identifying needs, and providing support in the delivery of services.

Engage with other units within Enrolment Services.

All other tasks/activities to support the operations of the Unit.

Other Qualifying Skills and/or Abilities:
Demonstrates high degree of integrity and work ethics in decision-making. Is able to interpret and judge validity of academic records based on pre-determined criteria. Is highly organized, creative, and manages time effectively and efficiently. Able to work well under pressure by providing outstanding admission service to prospective students to meet enrolment targets. Is resourceful in remaining current on changes in educational systems and credentials. Maintains the highest level of discretion, compassion, and professionalism. Fluently bilingual in English and French. Uses effectively Banner, Minerva, and complete Microsoft Office Tools.

Minimum Education and Experience:
Bachelor’s Degree 1 Year Related Experience with Bachelor’s Degree / DEC III 3 Years Related Experience with DEC III

Annual Salary:
(MPEX Grade 03) $50,330.00 – $75,490.00
