        Responsibilities
        
                        Position Purpose Summary:
Boundless Vancouver Community Ministries organizes The Salvation Army Boundless Vancouver Christmas Toy Shop for children and families. The Christmas Volunteer & Donation Coordinator works with our Boundless Vancouver team to organize our volunteers and coordinate donations for The Christmas Toy Shop and the Christmas Luncheon.
BASIC FUNCTIONS/RESPONSIBILITIES:
Volunteer Coordination: 

Works in conjunction with and in support of The Christmas Toy Shop by identifying and promoting volunteer opportunities
Recruit, screen, register & orient appropriate volunteers to fill positions
Process necessary paperwork, including Criminal Record Checks and volunteer agreement packages
Deploy volunteers to positions relevant to their interests and skills
Help orientate and supervise volunteers while they are deployed to their positions
Keep thorough records of volunteer information and hours of service for statistical purposes

Donation Coordination: 

Work in conjunction with and in support of the Christmas campaigns, identifying the financial and in-kind donation needs for Christmas distribution
Solicit financial and in-kind donations and correspond in a timely manner with individuals and corporate donors in the community; organize toy drives with companies and organizations in the community
Coordinate drop-off and pick up schedule with donors and driver(s)
Help coordinate with divisional Public Relations team for the Toy Mountain event
Relay donated items to the appropriate personnel for proper storage and distribution
Keep thorough records of donor information and donated items/amounts & maintain a positive relationship with our donors
Perform other duties as assigned

 
                    
                

        Qualifications
        
                        Education/Certifications:

Post-secondary education and work experience in fund-raising, donor relations, public relations

Experience:

One (1) to three (3) years of relevant experience, including experience working in customer service related fields

Required Skills/Knowledge:

Excellent organizational skills
Superior relationship building skills and the ability to interact with individuals at all levels in a confident, collaborative and professional manner
Proven ability to multitask
Be able to work independently; demonstrated self-starter and team player
Excellent verbal communication skills in person and on the phone
Excellent written communication skills
Proficient computer skills and familiarity with Google Suite and Microsoft Office
Ability to learn new software quickly and teach others
Be able to lift up to 30 lbs

Description

The Thrift Store Manager is responsible to oversee the operation of the Acton Thrift Store, including revenue generation, marketing, work flow and staffing.  The Thrift Store Manager ensures that the store provides affordable merchandise to the residents living in Acton and surrounding area.

KEY RESPONSIBILITIES:

Accountabilities:

  • Direct all operations of the store to meet sales targets and control expenses while managing customer service standards.
  • Supervise and as necessary participate in sorting and tagging merchandise, unloading donations, stocking shelves and performing cash transactions.
  • Plan store layout to attract customers, including window displays and merchandise displays, decides on in-store promotions and auctions; ensure attractiveness of the store through ”Tidy Maintenance”
  • Maintain a high level of customer service and create an attractive environment for customers
  • Determine and maintain appropriate stock levels based on spot checks of the store and reviewing weekly sales records
  • Responsible for supervising a team of employees and volunteers to ensure standards in sales, customer service, merchandizing, marketing, and public relations are achieved.
  • Address customer concerns, suggestions and complaints as needed.
  • Ensure accuracy in the completion of all customer transactions.
  • Implement inventory controls: retrieve, sort, appropriately price and discard or recycle any stale or un-saleable items on an ongoing basis; seek to protect the store from inventory shrinkage by close visual monitoring.

Human Resources

  • Hire, orientate, train, evaluate, recognize, discipline, terminate in conjunction with the Corps Officer, Ontario Division – Human Relations Department and Territorial Standards.
  • In conjunction with Corps Officers, complete payroll supervisory functions in UltiPro.
  • Conduct appropriate ongoing staff and volunteer training for all aspects of merchandise handling including.
  • Provide direction and support to those supervised so that they may develop.
  • Ensure that all employees maintain any mandatory training or certification; identify training needs.
  • Prepare, post, and maintain work schedules for those supervised.
  • Schedule with vendors additional garbage and recycling pick up on a regular basis.
  • In consultation with Corps Officer(s), arrange sale of metal and jewellery to external vendors.
  • Work with other Salvation Army programs to deliver emergency and disaster services as assigned by the Corps Officer(s).

Communication

  • Communicate any maintenance issues to supervisor in a timely manner.
  • Conducts regular staff meetings and participates in regular ministry unit leadership and management meetings and provide up-to-date reports on store business activities, etc.
  • Communicate weekly with the supervisor to ensure consistent adherence to Ministry Unit Store Policies/Promotions and for support as needed.

Administration

  • Determine and submit requests regarding in-store operational needs and supplies as necessary.
  • Complete all operational paperwork and submit same to Ministry Unit Office in a timely manner, and in accordance with organization standards.

Health and Safety

  • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures.
    • May provide advice, make recommendations and improvements, and assist with the development of company policies/guidelines/handbooks as it relates to health and safety.
  • Ensure that the equipment, materials and protective devices as prescribed (OH&SA) are provided and maintained in good condition.
  • Ensure that all staff are aware of emergency procedures and are prepared to implement them immediately as necessary.
    • Ensure that proper procedures are followed in the event of a workplace injury or illness, conducting incident investigations when required.
  • Perform workplace inspections as required.
  • Responsible to maintain a level of competency and understand Sections 25 and 26 of the Occupational Health and Safety Act (OHSA).
  • Administer and monitor WSIB E-Claim filing.
  • Participate in the supervision of Early and Safe Return to Work plans where applicable.
  • Maintain upkeep of Safety procedures as required.

FINANCIAL AND MATERIALS MANAGEMENT:

  • Assist with the materials management of donations/product flow in the thrift store.
  • Oversee the cash and debit sales, ensure that bank deposits balance and are deposited nightly as per store and TSA policy; the float is secured for the next day.
  • Establish and manage in-store budget within guidelines; execute budget objectives by attaining sales margins, maintaining staff cost ratios; profit objectives as established by the region; ensure that banking is completed nightly or as per store policy into the appropriate financial institution.
  • Complete all financial/operational paperwork and submit same to Corps Officer in a timely manner, and in accordance with organization standards.
  • Analyze store financial statements; strategizes appropriate action to attain financial goals, monitor cost of goods.
  • Prepare financial and other reports as required by the supervisor.
  • Formulate appropriate action to attain financial goals, monitor cost of store supplies.
  • Ensure that policies and procedures are adhered to regarding cash handling etc.

WORKING CONDITIONS:

  • This is a permanent full-time position.
  • Flexibility in work schedule is required.
  • Work schedule will vary from week to week and will include weekdays and/or Saturdays.
  • Required to stand for long periods with frequent twisting, bending, crouching and reaching is required.
  • Ability to lift/move on a regular basis up to 40 pounds.
  • Travel is required for this position to attend meetings, etc.

The hours of work and shifts are as per Thrift Store operational requirements Monday to Saturday, 9:30 a.m. – 5:00 p.m., which includes a ½ hour unpaid meal break.

This position is considered a management position for the purposes of the Employment Standards Act of Ontario and as such is not covered by various ESA rules, including but not limited to those related to hours of work, daily and weekly rest periods, and overtime compensation.  Salary is based on average minimum weekly hours of 35 per week and hours worked are compensated through the salary amount.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

EDUCATION, QUALIFICATIONS AND CERTIFICATIONS:

  • Completion of a College Diploma in Business/Retail Management or equivalent.
  • Basic accounting experience is required.
  • Alternative combinations of education and experience may be considered.

EXPERIENCE AND KNOWLEDGE:

  • Minimum of two (2) years of prior related retail store management experience, specifically in secondhand merchandise preferred and supervisory experience.
  • Cash handling experience is required.
  • Experience with cash registers and related processes and procedures i.e. bank deposits, summary reports, etc.
  • Must have strong skills and experience using word processing (WORD); spread sheet use (EXCEL); specific programs related to The Salvation Army.

SKILLS AND CAPABILITIES:

  • Self-motivated/disciplined.
  • Lead by example, by demonstrating a strong work ethic and a willingness to learn.
  • Ability to maintain information in confidence and exercise good judgement.
  • Ability to establish and maintain positive working relationships with others, both internally and externally, to achieve the goals of the organization.
  • Good merchandising skills and a flair for conceiving and implementing creative merchandising themes.
  • Strong operations experience in receiving, stock and inventory as well as front-end management and office management.
  • Ability to understand ethical behaviour and business practices and ensure that own behaviour and the behaviour of others is consistent with these practices and aligns with the values of the organization.
  • Valid Ontario Class “G” Driver’s License, own vehicle and insurance; a current copy of driver’s abstract
  • Must provide an original copy of a Background Check
  • May require screening through The Salvation Army Abuse Registry.
  • Develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
